Overview
We are searching for an Office Manager to ensure effective daily operations of a global healthcare company's office in Dublin. The company has a 66-year history of advancing health technologies and serves over 100 countries worldwide. This role is central to maintaining an organized, compliant, and efficient work environment, supporting multiple functions including facilities, finance, employee administration, and general business needs.
Key Responsibilities
- Oversee daily office operations ensuring safety, professionalism, and efficiency.
- Manage facilities including maintenance, cleaning, security, utilities, waste, and office services.
- Coordinate with contractors and external suppliers, handle quotations and relationships.
- Ensure health and safety compliance with risk assessments and workplace standards.
- Arrange maintenance and servicing of office equipment and facilities.
- Manage procurement and inventory of office supplies and equipment.
- Handle employee lifecycle administration: onboarding, offboarding, record maintenance, annual leave tracking, and documentation.
- Assist management with employee relations, policies, and procedures.
- Support daily financial and administrative tasks such as invoice processing, expense management, supplier payments, and liaising with accountants and payroll providers.
- Assist with tax and statutory filings including VAT, VIES, and Intrastat.
- Maintain financial documentation to aid audits, budgeting, and cost control.
- Provide broad operational support to management including streamlining administrative processes and ensuring compliance with employment laws and regulations.
- Manage company administrative systems and databases, prepare reports, and keep information organized.
- Offer administrative assistance to senior management, including scheduling meetings, travel, visitors, and events.
- Facilitate communication among management, employees, and external parties.
- Identify operational challenges and implement effective solutions.
Qualifications
- At least 3 years’ experience in office management, business operations, or a senior administrative role.
- Strong knowledge of financial and administrative processes.
- Excellent organizational and time management abilities.
- Ability to work independently and manage multiple tasks simultaneously.
