Role Overview
The Office Administrator will coordinate and oversee daily operations at the Trivandrum office within the Infosys campus, ensuring seamless functioning for employees and business processes. This individual serves as the main liaison among campus teams, Kochi in-tech, vendors, and other internal stakeholders, managing goods inward, reception, employee access, vendor relationships, office supplies, and infrastructure maintenance to foster a safe and effective work environment.
Key Responsibilities
- Manage day-to-day operational tasks of the Trivandrum facilities to support smooth business activities.
- Serve as the primary contact point for security, finance, facility management, and customs clearance teams on the Infosys campus.
- Coordinate with in-tech departments in Kochi to facilitate on-site business functions and requirements.
- Handle the receipt and appropriate management of incoming goods promptly and efficiently.
- Ensure compliance with prescribed procedures related to facilities and office operations.
- Oversee security protocols to facilitate smooth employee access and departures from office premises.
- Work closely with internal teams, vendors, and service providers to support continual facility operations and employee services.
- Monitor infrastructure, equipment, and communal areas to maintain safety and operational efficiency.
- Track facility service requests and maintenance issues, ensuring timely follow-up and resolution.
- Manage office supply inventories, coordinate procurement and replenishment, and provide receptionist duties as necessary.
Candidate Requirements
- Possess a bachelor's degree or diploma in Facilities Management, Administration, Hospitality, or a related discipline.
- Have between one to three years of experience in facilities management, office operations, workplace services, or administration.
- Understand basic workplace safety norms, compliance standards, and emergency readiness.
- Previous exposure to reception or front office responsibilities is advantageous.
- Demonstrate knowledge in vendor coordination and facility upkeep.
- Exhibit excellent stakeholder and coordination capabilities.
- Have strong verbal and written communication proficiencies.
- Display strong organizational skills, multitasking ability, and attention to detail.
- Be proficient in MS Office applications including Word, Excel, PowerPoint, and Outlook.
- Ability to collaborate effectively with internal teams, external vendors, and service providers within a dynamic work environment.
