Job description
Role Overview
We seek a proficient HR Administration Executive to manage travel coordination, office operations, vendor interactions, and employee engagement initiatives to ensure efficient workplace functionality and robust HR support.
Key Duties
- Coordinate and arrange travel bookings including flights, trains, and hotels for staff and senior leaders while maintaining thorough booking records and conducting cost evaluations to optimize resources.
- Collaborate with IT for onboarding hardware allocation, troubleshooting, and IT needs management.
- Manage employee medical insurance processes encompassing onboarding, query resolution, and policy renewals.
- Sustain and update employee Birthday and Anniversary Calendars.
- Organize in-office and offsite festivities such as birthdays, anniversaries, festivals, and team-building events.
- Execute Rewards & Recognition ceremonies and compile post-event analytic reports.
- Oversee vendor onboarding and contract management for logistics including meals, welcome kits, and office supplies; coordinate with external vendors for office upkeep.
- Manage daily office administrative functions, including inventory control, maintenance, and ensuring smooth logistics for couriers and deliveries.
- Conduct visits to branch offices to verify adherence to administrative protocols and support operational continuity.
Candidate Profile
- Experience ranging between 2 to 6 years in HR and administrative functions preferred.
- Excellent written and verbal communication skills.
- Proficient in MS Office suite including Excel, Word, and PowerPoint.
- Capable of managing and coordinating a broad range of stakeholders such as IT departments, vendors, and employees.
- Familiarity with HRMS software and administrative systems.
- Understanding of corporate medical insurance schemes and employee benefits is advantageous.
Educational Qualifications
Applicants should possess a Bachelor's degree in Business Administration, Human Resources, or a closely related discipline.
