Position Overview
The role of Management Executive Officer involves a variety of administrative and operational responsibilities essential to ensuring the smooth functioning of school office activities. This position requires managing reception services, coordinating administrative tasks, supporting financial and procurement processes, and maintaining safety and inventory standards.
Key Duties and Responsibilities
- Handle reception functions including answering incoming calls and addressing walk-in enquiries from parents, students, staff, and vendors with professionalism and courtesy.
- Manage school administrative operations such as arranging bus bookings, handling mail distribution, and delivering materials to teachers and students daily.
- Assist financial and procurement departments by verifying invoices, preparing payment documentation, processing purchasing requests, and supporting procurement transactions.
- Provide basic first aid care to students when necessary and ensure adequate stock levels of stationery and office supplies.
- Carry out additional assigned administrative and operational tasks to maintain office efficiency.
Required Qualifications and Experience
- A diploma or higher academic qualification is mandatory.
- At least two years of relevant experience in customer service, administration, finance, and/or procurement roles.
Preferred Skills and Attributes
- Experience working within a school environment is advantageous.
- Competent in Microsoft Office suite and general IT systems.
- Excellent interpersonal and communication abilities with a service-minded and professional demeanor.
- Strong organizational skills with the ability to multitask and manage time effectively.
- Capable of thriving in fast-paced, dynamic settings.
- A responsible, adaptable team player who can also operate independently when required.
