FLEXÉIR is revolutionizing how Technical Facilities Management services are offered in Ireland as part of the international Flexim Group, which operates globally with a Swiss headquarters, 21 offices across 17 countries, and over 886 operations. Within Ireland, FLEXÉIR manages facilities for 75 clients spanning sectors including Aviation, Education, Financial, Pharmaceutical, Retail, Manufacturing, and Medical, operating from offices in Dublin and Shannon.
This role, based in Dublin City Centre, is for a Lead Technical Facilities Coordinator who will oversee and coordinate the maintenance and operations of building facilities infrastructure. The role requires robust technical knowledge in project management and maintenance, alongside a strong focus on safety compliance and contractor oversight. Reporting to the Technical Estate Manager, this position supports both landlord asset management and occupier operational demands across a multi-building estate.
Key Responsibilities
- Assist in day-to-day management and delivery of facility management services within the client contract.
- Provide technical assistance under guidance from the Technical Estate Manager and Building Manager for all estate-related operations.
- Serve as the main technical liaison for facilities inquiries, aiding internal teams and client stakeholders.
- Plan and coordinate maintenance works, minor projects, and technical undertakings.
- Collaborate closely with suppliers, contractors, and internal teams to maintain smooth service delivery.
- Monitor maintenance performance metrics and ensure adherence to service-level agreements.
- Track and report outstanding work orders and preventive maintenance jobs, following up with contractors.
- Review and ensure currency of contractor documentation.
- Manage and authorize Permit to Work procedures.
- Schedule subcontractor maintenance visits aligning with supplier and client requirements.
- Conduct site inductions for all stakeholders and contractors.
- Compile Risk Assessments and Method Statements as necessary.
- Prepare service reports, upload to the Computer-Aided Facilities Management (CAFM) system, and disseminate to relevant parties.
- Ensure compliance with health, safety, environmental, and building regulations through regular inspections.
- Assist in budget monitoring and contractor cost control, as well as service charge-related reporting.
- Support continuous improvement initiatives and compliance standards under guidance from the Technical Estate Manager.
Candidate Requirements
- A minimum of 3-5 years’ experience in a Facilities Management Coordinator capacity or a related trade qualification with supervisory or coordination experience.
- Comprehensive understanding and hands-on experience reviewing Risk Assessments and Method Statements and managing Permit to Work systems.
- Knowledge of applicable health and safety legislation and statutory compliance standards.
- Experience in contractor management and oversight of technical works.
- Familiarity with CAFM platforms for scheduling planned preventive maintenance, handling reactive maintenance requests, and maintaining compliance records.
- Desirable experience in Building Management System (BMS) operations, including alarm monitoring, fault diagnostics, and working with controls engineers.
- Previous work experience in corporate or prestigious client environments is preferred.
- Excellent communication skills, both written and verbal, in English.
- Self-motivated individual capable of working independently without supervision.
