Job description
Role Overview
This position involves managing and representing the COO's office by delivering confidential administrative assistance to a high standard. It acts as the central communication point for the COO's Office and supports the formulation, implementation, and tracking of departmental strategies.
Key Responsibilities
- Lead preparation of administrative reports and analyses, drive the development and enhancement of policies and procedures, and clarify company policies to resolve administrative issues in collaboration with Finance, Contracts, and Legal teams.
- Support business documentation requirements through report compilation, presentation design, and spreadsheet development.
- Coordinate and prioritize team tasks, oversee action item progress, and provide status reports.
- Autonomously address complex administrative challenges while ensuring compliance with organizational structures, standards, processes, and tools.
- Continuously improve and supervise current administrative processes and information systems to promote operational efficiency.
- Serve as the primary liaison, facilitating communication within the business and externally to QR Group stakeholders.
- Handle internal queries and requests by interpreting and explaining relevant procedures and policies, fostering a thorough understanding of the business landscape and internal structure among department staff.
- Manage and coordinate communications, organize management meetings, and attend for minute-taking as required.
- Escalate important matters to the COO to enable effective resolution of identified challenges.
- Collaborate with the business on setting organizational strategies including managerial shifts, organizational restructuring, and long-term planning.
- Assist with annual budget preparation and reporting in partnership with Business Finance and provide the COO with regular budget updates.
- Lead and manage special projects, solicit input on ongoing work, and report progress to the line manager.
- Perform other related tasks necessary for efficient work unit operation.
Candidate Profile
- Possesses a Bachelor's degree or equivalent qualification with at least four years of relevant work experience.
- Experienced in database administration and project management.
- Exhibits strong interpersonal and relationship management capabilities.
- Client-focused and business savvy with proven experience engaging senior management.
- Capable of meticulously proofreading outgoing documents and independently writing comprehensive, precise reports.
- Proficient in Microsoft Office suite including Word, Excel, and PowerPoint.
- Maintains high levels of professionalism and sensitivity.
- Demonstrates excellent planning, attention to detail, and the initiative to work independently with minimal supervision.
- Thrives when working under pressure to meet deadlines.
- Possesses leadership skills including delegation, clear direction setting, workflow management, and fostering team collaboration, along with the ability to train and develop team members.
