Job description

About the Opportunity

We are seeking a proactive and professional Judges Personal Assistant to provide comprehensive secretarial and administrative support to the Judges at Napier District Court. This permanent, full-time role involves working closely with Judges, managing their communication, schedules, and logistic needs to enable them to perform their judicial duties efficiently.

Key Responsibilities

  • Serve as the primary point of contact for all communications directed to the Judges' Chambers.
  • Manage Judges' diaries including scheduling and adjustments.
  • Coordinate travel arrangements and accommodation for Court hearings, conferences, and seminars.
  • Prepare essential documentation such as judgments, Court minutes, presentations, meeting minutes, and reports.
  • Organize venue bookings and catering for conferences when required.
  • Assist visitors to the Chambers area.
  • Operate with a high degree of self-direction within a geographically dispersed team, demonstrating accountability and responsibility.

Required Experience and Skills

  • Proven experience in executive, personal, or secretarial support roles within busy and diverse managerial environments.
  • Legal or court experience is preferred.
  • Audio-typing proficiency of at least 60 words per minute.
  • Excellent written English skills including grammar, punctuation, spelling, comprehension, and strong attention to detail.
  • Effective communication abilities, both written and oral, including handling sensitive or volatile situations.
  • Competency in general office duties and equipment operation.
  • Advanced knowledge of computer-based secretarial, administrative, and presentation software applications.
  • Capable of working independently with professionalism and initiative.
  • Strong organizational skills, problem solving, and ability to prioritize workload to meet deadlines.
  • Ability to remain composed under pressure and adapt to changing circumstances.
  • Experienced in stakeholder liaison, especially with Māori communities, and strong networking skills.
  • Event management experience and coordination of activities at senior levels.

Salary Information

The salary range for this position is between $60,729 and $80,794 annually. The final salary will depend on your skills and experience, with the possibility of a higher salary within this band for exceptional candidates.
