Position Overview
The Government of Alberta's Ministry of Advanced Education seeks a full-time Institute Liaison based in Edmonton. This permanent role involves coordinating examination services for apprentices, trade qualifiers, and students enrolled in various technical training programs across the province. Operating within the Apprenticeship and Industry Training Division, the position supports effective relationships with post-secondary institutions and training providers to enhance apprenticeship program delivery.
Key Responsibilities
- Manage the scheduling, administration, security, and delivery of examinations in multiple formats and locations including regional offices, campuses, and designated training sites.
- Arrange logistics such as room setups, seating plans, invigilator assignments, and transport of exam materials to ensure smooth execution.
- Safeguard exam materials by maintaining inventory, ensuring strict security protocols, investigating potential breaches, and standardizing procedures across venues.
- Provide on-site supervision and invigilation during exams, addressing candidate inquiries, resolving issues, and maintaining fairness and consistency.
- Train and mentor invigilators and field staff to uphold uniform examination practices across all dates and locations.
- Administer supplemental exams by verifying candidate eligibility, coordinating schedules, securing necessary materials, and organizing invigilation support.
- Implement accommodations for candidates with special needs by reviewing documentation, determining appropriate support, and arranging required assistance.
- Forge and sustain collaborative partnerships with training providers, campus personnel, apprentices, employers, and other stakeholders to facilitate program execution and exam delivery.
- Respond to examination-related questions and conflicts, offer guidance, counsel candidates, and apply conflict resolution methods.
- Oversee competency-based practical exams including scheduling, invigilation, marking, feedback delivery, and advising unsuccessful candidates on available options.
- Contribute to program enhancements by reporting on exam impacts, issues, procedural improvements, and risks to divisional and program development teams.
Qualifications and Skills
- Possess journeyperson certification with 5 years relevant experience, or two certifications with 3 years experience, or an Alberta Occupational Certificate with 8 years experience, or a related diploma with 5 years, or a related degree with 3 years of pertinent experience.
- Demonstrate strong organizational abilities to manage complex scheduling and coordination tasks related to examination delivery.
- Exhibit meticulous approach towards exam security, confidentiality, and adherence to established protocols.
- Showcase excellent client service and communication capabilities to effectively liaise with diverse stakeholders.
- Proficient in assessing and resolving issues through sound judgment and conflict management techniques.
- Experience collaborating with post-secondary institutions, registrars, instructors, and facility teams.
- Ability to interpret and consistently apply legislative, regulatory, policy, and procedural requirements within a high-volume environment.
- Capable of working cooperatively with internal teams and external partners to ensure provincial consistency in exam administration.
Preferred Experience
- Background in coordinating or invigilating exams within educational, certification, or regulatory settings.
- Familiarity with Alberta’s apprenticeship and industry training framework.
- Experience using information management systems for scheduling, eligibility verification, record keeping, and reporting.
- Knowledge of providing accommodations and support for candidates with special requirements during assessments.
Working Conditions and Additional Details
- This role follows a 36.25-hour workweek from Monday to Friday at Edmonton-based locations.
