About the Role
Médecins Sans Frontières (MSF) is a global, non-governmental humanitarian organization delivering medical aid in more than 70 countries. The German section, headquartered in Berlin, employs over 300 personnel across multiple departments dedicated to supporting those in need. We are revamping our information management practices to simplify, clarify, and enhance reliability in everyday operations. This role involves practical engagement to independently identify document management challenges, design and implement solutions, and guide organizational improvements related to shared drives and SharePoint information systems. The position reports to the Head of Advisory Unit for Information and Knowledge Management.
Responsibilities
- Develop and execute document lifecycle protocols, including classification, retention, and disposal stages.
- Create and maintain SharePoint architectures, manage access permissions, and enforce governance frameworks.
- Oversee evaluation and structuring of organizational documents.
- Organize and lead extensive cleaning, reorganization, and migration efforts for legacy data.
- Translate operational and compliance needs into actionable document controls.
- Implement data protection, information security, and compliance standards during document handling and migration.
- Leverage Microsoft 365 tools, scripting, and automation to minimize manual document handling tasks.
- Collaborate with various MSF teams to address shared information management challenges effectively.
Qualifications
- Proven success in transforming unstructured information into well-organized, searchable environments.
- Practical expertise in configuring SharePoint and Microsoft 365 for document management purposes.
- Experience utilizing scripting, automation, or similar tools to resolve information management issues.
- Hands-on involvement with cleaning, reorganizing, or migrating large volumes of files.
- Applied knowledge of document lifecycle management and retention policies.
- Understanding of data protection laws, information security, and compliance protocols.
- Ability to work autonomously, make informed practical decisions, and escalate when necessary.
- Fluent English communication skills.
Employment Details and Benefits
- Position based in Berlin.

- Permanent contract.
- Full-time or part-time options (32 to 40 hours weekly).
- Salary range from €4,350 to a maximum of €5,503 monthly for full-time employment, plus a 13th-month salary.
- 30 days of holiday annually, plus additional holidays on December 24 and 31.
