Role Purpose

This position is responsible for overseeing daily inbound transport tasks across various international supply routes and transportation types. Working in a dynamic environment, the role ensures products move efficiently, compliantly, and cost-effectively from global suppliers to distribution centers.

Key Duties

  • Manage daily inbound logistics involving road, sea, and air freight.
  • Plan and schedule inbound deliveries to align with operational demands and product shelf life.
  • Track shipments and notify stakeholders proactively about delays or issues.
  • Coordinate with suppliers, hauliers, shipping companies, and freight forwarders for timely product receipt.
  • Support container scheduling, haulage planning, and transport efforts to meet daily targets.
  • Monitor supplier delivery performance and highlight problems when necessary.
  • Assist customs clearance by coordinating required documentation with customs and logistics partners.
  • Maintain accurate freight documentation and update logistics systems promptly.
  • Help manage global imports via air and sea with correct documents.
  • Build and sustain effective relationships with third-party logistics and transport providers.
  • Monitor inbound transport expenses and contribute to cost control strategies.
  • Collaborate closely with management and internal teams for smooth logistical operations.
  • Serve as a primary contact for inbound transport queries and operational status.
  • Provide logistics planning support in high-demand seasons.
  • Identify and suggest process enhancements and efficiencies.
  • Ensure adherence to Health & Safety policies and operational procedures.
  • Support onboarding and training for new team members.
  • Maintain compliance with customs regulations, transport rules, and approved haulier policies.
  • Assist in resolving customs queries and monitoring entry accuracy.
  • Keep precise operational records and assist KPI reporting related to inbound logistics.
  • Complete routine administration such as shipment tracking, reporting, and system input.
  • Assist with invoice, costing, and supplier document validations.
  • Track supplier performance via KPIs and service evaluations.
  • Complete all required compliance and training activities on schedule.

  • Accurate upkeep of transport records and documentation.
  • Effective communication with all relevant parties.
  • Supporting service level achievement and operational goals.
  • Promptly escalating and resolving logistics challenges.
  • Maintaining customs and administrative compliance.
  • Contributing to ongoing improvements in logistics.
  • Providing dependable reporting and operational assistance to leadership.

Skills and Experience

  • Proven background in logistics, transport coordination, or supply chain administration within fresh produce, FMCG, or related fast-paced sectors.
  • Knowledge of international freight operations across multiple transport modes.
  • Familiarity with customs procedures and import/export documentation is advantageous.
  • Excellent organisational abilities capable of juggling multiple priorities.
  • Strong attention to detail paired with problem-solving skills.
  • Effective communication and stakeholder engagement skills.
  • Adaptability to work efficiently in a fast-moving, changing environment.
  • Commercial acumen and sound understanding of logistics operations.
  • Proficiency with IT, including Microsoft Office and logistics transport systems.
  • Team-oriented mindset with collaborative working capabilities.

Special Work Conditions

  • The role requires flexibility to work beyond normal hours when necessary.
  • Participation in an on-call rotation system is part of the position.
  • Work schedule involves 5 days within a 7-day cycle.
  • Occasional travel may be needed depending on operational demands.

Qualifications

  • Degree, diploma, or equivalent experience in Supply Chain, Logistics, Business, or related fields.
  • Experience in transport coordination or logistics operations desirable.
  • Knowledge of customs clearance and Incoterms beneficial.
  • Preferred understanding of inbound logistics and international freight processes.
