Head - Warehouse and Material Control

Role Overview

This leadership position oversees comprehensive warehouse functions along with material control operations to ensure efficient, accurate, and uninterrupted material flow supporting production needs.

Warehouse Management Responsibilities

• Oversee all warehouse activities including receiving, storing, picking, staging, and dispatching goods.
• Manage inspection, identification, and correct storage of incoming materials in a timely manner.
• Optimize warehouse layout, storage assignments, space utilization, and material flow processes.
• Handle accurate inventory control, including bin management and stock movements in system records.
• Conduct cycle counts, physical stock audits, and reconcile inventory records to maintain accuracy.
• Implement and uphold FIFO (First In First Out) or FEFO (First Expiry First Out) procedures where required.
• Supervise loading/unloading and utilization of material handling equipment and warehouse workforce.
• Ensure availability and proper use of equipment such as forklifts, racks, pallets, and bins.
• Collaborate closely with cross-functional teams including Production, Material Planning, Procurement, Quality, Logistics, and Finance.
• Track warehouse performance metrics like inventory accuracy, space utilization, order accuracy, productivity, and turnaround times.
• Develop manpower planning, organize shifts, allocate workload, and set productivity objectives.
• Ensure adherence to 5S methodologies, safety protocols, quality standards, and environmental compliance.
• Identify opportunities to incorporate automation, digital tools, and process improvements within the warehouse.
• Manage warehouse operating costs and endorse initiatives aimed at improving productivity.
• Supervise relationships with third-party logistics providers or warehouse service vendors if applicable.
• Lead in problem solving by performing root cause analysis and corrective actions for inventory discrepancies, damages, shortages, and operational challenges.
• Prepare and present comprehensive warehouse performance reports and management dashboards.

Material Control Responsibilities

Ensure correct materials in appropriate quantities are available at the right time and location, maintaining optimal stocks to support smooth production.

• Oversee full-cycle material control and inventory planning meeting production requirements.
• Maintain uninterrupted supply of materials and components aligned with production schedules.
• Define and monitor material needs, safety stocks, reorder points, and replenishment strategies.
• Coordinate with Production Planning, Procurement, Warehouse, Logistics, Quality departments, and suppliers.
• Track and address material shortages, surplus inventory, slow-moving and obsolete stocks.
• Monitor supplier deliveries, schedules, material arrivals, and resolve delays or shortages proactively.
• Implement controls to prevent production stoppages due to material unavailability.
• Oversee MRP/ERP system transactions, including material reservations, purchase orders, stock handling, and consumption tracking.
• Analyze demand patterns and usage trends to optimize inventory positioning.
• Develop reports for material shortages, maintain dashboards, and provide regular material status updates.
• Collaborate with suppliers and procurement on expediting critical materials when needed.
• Manage engineering change impacts including old and new part inventories.
• Control inventories of WIP (Work in Progress), Raw Materials, Finished Goods, service parts, and production components as applicable.
• Lead initiatives to reduce inventory levels without disrupting production flow.
• Improve inventory turnover, reduce days of inventory, enhance material availability, minimize shortages, and maintain accuracy.
• Drive root-cause investigations and preventative measures for recurring material supply issues.
• Support new model or product launches by ensuring material availability and readiness.
• Create contingency plans for critical materials and potential supply interruptions.
• Liaise with Finance concerning inventory valuation, accounting provisions, write-offs, and management of excess or obsolete stock.
• Promote continuous improvements using Lean manufacturing principles, Just-In-Time, Kanban, pull systems, and material flow enhancements wherever applicable.
