Role Overview
The Global Bid Manager will spearhead the coordination, development, and delivery of comprehensive, high-quality bids, tenders, proposals, questionnaires, and presentations at a global scale. Responsibilities include bid planning, content creation, document management, stakeholder collaboration, strategy input, and ensuring compliance with client and company standards.
Positioned within the Global Sales & Bids team, this role is instrumental in advancing Airswift's bid capabilities worldwide, working closely with top leadership including Presidents, Regional and Sales Leaders, and Marketing to enhance bid quality and success rates.
Core Responsibilities
- Serve as a strategic advisor to Sales teams throughout the bid lifecycle by delivering expertise and creating compelling value propositions.
- Manage and deliver global and multi-regional bids, ensuring compliance with client requirements and internal governance.
- Develop and cultivate the global bids network, promoting high performance, continuous learning, and knowledge exchange.
- Lead bid qualification sessions and guide decision-making on pursuing or declining opportunities aligned with business goals.
- Create bid responsibility matrices, project plans, and schedules to streamline bid processes.
- Engage internal experts and stakeholders to gather precise, timely, and compliant bid responses.
- Assess proposal content for alignment with client needs, company value propositions, and competitive positioning.
- Produce, review, and ensure submission of exceptional proposals and related documents on schedule.
- Coordinate quality control including legal reviews and stakeholder approvals before submission.
- Maintain comprehensive records and documentation of proposals using SharePoint.
- Monitor and report on bid pipeline, performance metrics, and support governance for continuous improvement.
- Drive enhancements in bid quality, efficiency, collaboration, and success rates by implementing best practices and leveraging AI and automation tools.
- Standardize global bid management processes, templates, governance frameworks, and methodologies.
- Lead analysis of bid results and feedback to identify trends and enact functional improvements.
- Foster a culture of operational excellence, continuous learning, and innovation across the global bids community.
- Collaborate with regional bid teams to resolve issues, share successful tactics, and align bid operations globally.
- Provide leadership and oversight to regional bid teams, establishing consistent global standards and capability development practices.
- Implement succession, cross-training, and workload management to ensure resilient bid support during absences and peak periods.
- Conduct governance meetings and facilitate knowledge sharing within bid teams worldwide.
- Oversee onboarding and training for bid team members and affiliated stakeholders involved in bidding processes.
- Manage the Bids Knowledge Base content ensuring strategic alignment, accuracy, engagement, and accessibility.
- Govern the Launchpad content strategy and administration to maintain quality and usability across the company.
Required Skills and Experience
- Substantial experience in bid or proposal management, preferably in energy, infrastructure, workforce solutions, or professional services sectors.
- Proven success in leading complex, strategic, multi-region bidding efforts.
- Strong proficiency with digital tools and enthusiasm for implementing AI, automation, and emerging technologies to boost productivity and bid outcomes.
- Excellent communication and presentation skills with the ability to influence stakeholders at various levels.
- Effective stakeholder management and collaboration skills, working across functions, geographies, and senior leadership.
- Experience in designing or refining bid processes, templates, governance frameworks, and best practices.
- Strong project management capabilities, adept at handling multiple priorities in fast-moving environments.
- Familiarity with CRM, content management, bid management platforms; knowledge of Bullhorn is a plus.
- Advanced proficiency in Microsoft Office Suite, especially Word, Excel, and PowerPoint; exposure to Canva and AI tools like Microsoft Copilot is advantageous.
