Fleet Specialist - Facility

Job Overview

This role supports the smooth daily functioning of company vehicles by overseeing maintenance schedules, ensuring proper documentation, timely renewals, and constant communication with drivers and vehicle users.

Core Duties and Responsibilities

• Compile and submit detailed reports concerning the condition and performance of all company vehicles and equipment to the appropriate departments.
• Document and report any delays, incidents, or accidents involving fleet vehicles promptly.
• Maintain open lines of communication with drivers, resolving any issues or concerns they raise efficiently.
• Coordinate regular vehicle maintenance and repair schedules to guarantee optimal working conditions.
• Perform routine vehicle inspections and maintain a spare vehicle readily available for emergencies.
• Monitor vehicle insurance policies and licensing documents to ensure timely renewals.
• Investigate, validate, and address any customer complaints associated with fleet services.
• Manage monthly financial transactions for fleet operations, including leasing fees, servicing costs, and other expenditures, along with supervising fuel and maintenance expenses.
• Allocate vehicles to users with proper documentation and ensure smooth handovers.

• Continuously update both soft and technical skills relevant to the role.
• Execute planned operational activities to meet assigned goals efficiently in terms of cost and time.
• Generate periodic reports outlining deviations and implementations relative to planned tasks.
• Troubleshoot and resolve operational challenges, escalating complex issues when necessary.
• Maintain quality control processes and product or process specifications to ensure high standards.
• Develop, follow, and improve documented systems, policies, and procedures, leveraging automation where feasible.
• Ensure compliance with corporate policies, safety protocols, and environmental standards related to fleet management.

Academic and Experience Requirements

• A Bachelor's degree in Business Administration or a related discipline is required.
