Finance Archive Specialist

Role Overview

As a Finance Archive Specialist, you will be responsible for overseeing the structured indexing, archiving, and secure storage of all financial documentation such as invoices, tax filings, ledgers, and audit reports. Your role is crucial in ensuring compliance with local financial regulations, data protection laws, and company-specific document retention policies.

Key Responsibilities

• Manage the systematic indexing and archiving of financial documents while ensuring their secure storage.
• Adhere strictly to local financial regulatory requirements, data privacy laws, and organizational record retention standards.
• Efficiently retrieve and arrange financial records as required to facilitate internal audits, regulatory assessments, and tax audits.
• Oversee the lawful disposal and destruction of outdated financial records based on legal and company timelines.
• Convert legacy paper-based files into digital formats by scanning, sorting, and uploading to the company’s electronic document management system.

Qualifications and Experience

• Possess a bachelor's degree in Finance, Accounting, Archival Science, Information Management, or a related discipline.
• Have at least two years of experience in document control, recordkeeping, or finance administration roles.
• Demonstrate proficiency with electronic document management systems (EDMS) and commonly used office software, particularly MS Excel.
• Exhibit sound knowledge of financial record-keeping norms, compliance standards, and confidentiality protocols.
• Possess outstanding organizational abilities, keen attention to detail, and capable of managing confidential and sensitive data responsibly.
