About the Role
PERSOL APAC is collaborating with a prominent ASX-listed technology and life sciences company to recruit a seasoned Executive Assistant to provide dedicated support to the CEO / Managing Director and Chief Financial Officer. This is a permanent, full-time position based at Eight Mile Plains Technology Park, Brisbane QLD.
This pivotal role demands working within a high-trust, confidential and dynamic executive environment. You will be instrumental in ensuring the effective operations of the CEO's office, interacting closely with senior executives, Board members, and key internal and external stakeholders.
Main Duties
- Deliver comprehensive Executive Assistant support to the CEO / Managing Director and CFO.
- Manage intricate and evolving diaries, meetings, priorities, and competing demands effectively.
- Organize Board meetings, investor-related engagements, and various executive commitments.
- Ensure timely preparation and distribution of relevant documentation, agendas, and pre-reading materials for executives.
- Foresee executive needs and proactively manage priorities and follow-up tasks.
- Prepare and coordinate materials for Board and Committee meetings including papers, agendas, and minutes.
- Assist with governance activities in collaboration with the CFO and Company Secretary.
- Handle logistics and documentation for Board meetings and follow-up actions diligently.
- Support ASX-listed company compliance and investor relations requirements while maintaining confidentiality and accuracy.
- Draft and polish executive correspondence, reports, briefing notes, and presentations suitable for Board and investor audiences.
- Coordinate input from multiple stakeholders ensuring consistency and professional presentation of materials.
- Manage complex domestic and international travel arrangements including itineraries, visas, and logistics.
- Prepare briefing packs and travel documents for executives.
- Support investor roadshows, conferences, and key executive events, handling last-minute changes efficiently.
- Maintain professional liaison with Board members, executives, investors, regulators, and external advisers acting as a trusted gatekeeper for the CEO's office.
- Oversee expenses, invoices, and reconciliations; assist with ad hoc executive projects and initiatives.
- Provide support to the broader executive team as needed and ensure ownership and completion of assigned tasks.
Candidate Profile
- Proven experience supporting C-suite executives, senior partners, or comparable senior leadership roles.
- Familiarity with Board and governance procedures, ideally within ASX-listed companies, corporate environments, professional services, Big 4, legal, mining, or energy sectors.
- Advanced proficiency in Microsoft Office and Microsoft 365 applications, including Word, PowerPoint, Outlook, Teams, and Excel.
- Exceptional written communication and document preparation capabilities.
- Demonstrated high discretion and ability to handle sensitive and confidential information.
- Strong organisational skills with keen attention to detail.
- Able to juggle competing priorities and meet shifting deadlines efficiently.
- Experienced in coordinating complex multi-destination domestic and international travel.
- Confident in stakeholder engagement with senior executives, Board members, and external parties.
- Previous exposure to investor relations or corporate communication is advantageous.
