About the Role
We are seeking a highly organized and proactive Executive Assistant to support the CEO at Split Second, part of Live Nation Entertainment. The successful candidate will demonstrate a passion for their work, an entrepreneurial mindset, and the ability to thrive in a dynamic, fast-paced music business environment. The role demands strong attention to detail, mastery of fundamental business office procedures, and excellent communication skills, both verbal and written.
Key Responsibilities
- Manage the CEO’s business calendar by scheduling and coordinating internal and external meetings, handling travel arrangements, and processing expense reports.
- Serve as a communications hub, acting as a liaison between internal teams, clients, and external partners, facilitating information flow and logistics coordination for meetings and organizational tasks.
- Create and distribute detailed agendas, prepare materials for committee and leadership meetings, attend and electronically record leadership meetings, and compile minutes and resolutions for approval.
- Draft correspondence and reports from rough notes, conduct research on relevant issues and activities, assist in developing presentations, and maintain confidential administrative files.
- Screen and respond to communications received via phone, email, and mail efficiently.
- Organize extensive domestic and international travel plans including flights, accommodations, ground transportation, upgrades, and manage last-minute itinerary changes.
- Represent the company at meetings, events, and shows by providing on-site support as needed.
- Authorize purchases and payments for travel, professional memberships, training, subscriptions, vendors, and meeting supplies.
- Perform occasional personal errands or tasks for C-level executives and support special projects within the CEO’s span of control.
Candidate Profile
- Bachelor’s degree in Business, Music, Marketing, Communications, or related field preferred.
- Minimum of one year’s experience as an executive assistant or high-level administrative assistant.
- Prior experience working in the music or entertainment industry strongly favored.
- Exceptional organizational skills, keen attention to detail, and the ability to juggle multiple priorities successfully in a fast-moving environment.
- Familiarity with social media platforms such as Instagram, Twitter, Facebook, YouTube, TikTok, and Soundcloud.
- Proficiency in Microsoft Word, Microsoft Excel, and Google Docs/Sheets.
- Ability to maintain confidentiality of sensitive information and make sound decisions within given guidelines.
- Strong analytical thinking with capability to assess complex issues and respond appropriately.
- Self-motivated with good independent judgment and initiative to manage and prioritize multiple projects and meet deadlines.
- Ability to cultivate and maintain positive and effective working relationships throughout the organization and with external contacts.
