Role Overview
This is a career-focused opportunity for an Executive Assistant to offer impactful support in a dynamic technology setting. The role involves close collaboration with a Chief of Staff and a dedicated support team, directly supporting a company founder within a trusted and tight-knit executive support framework.
Key Responsibilities
- Efficiently manage a complex, evolving calendar by safeguarding critical time and prioritizing key engagements.
- Handle an active inbox with discretion, clarity, and sound judgment.
- Arrange comprehensive domestic and international travel plans, including itineraries, expense management, and other logistics.
- Prepare thoroughly for meetings, organize necessary materials, and sustain a smooth leadership operational flow.
- Develop and maintain strong working relationships with internal departments, external partners, and the broader support community.
- Proactively anticipate needs and resolve challenges quietly and effectively behind the scenes.
- Provide impeccable “white glove” service characterized by exceptional attention to detail, ensuring every element, from offsites to personal touches, is flawlessly executed.
- Identify operational inefficiencies and implement innovative, faster, and smarter working methods.
Candidate Profile
- Possess at least 3 to 4 years of Executive Assistant experience supporting senior leadership within fast-paced environments, demonstrating professionalism, maturity, and credibility at an executive level.
- Show a sincere long-term dedication to the Executive Assistant career path.
- Exhibit high emotional intelligence, self-awareness, and a collaborative, low-ego approach.
- Demonstrate a strong commitment to exceeding the basics, elevating tasks, and meticulously handling details frequently overlooked by others.
- Confidently manage shifting priorities, sensitive data, and last-minute requests under pressure.
- Effective in concise verbal and written communication with decisive action-taking ability.
- Adapt quickly and thoroughly understand complex business environments through strong learning agility.
- Proficient in Google Suite, Slack, and contemporary productivity software.
- Experience with AI tools for enhancing productivity or communication is advantageous.
Working Arrangement and Benefits
This permanent full-time role is based in Sydney, operating largely from 8:00 to 17:30 hours, with flexibility for urgent matters requiring attention outside normal hours, managed with good judgment to preserve work-life balance.
