Role overview

This contract opportunity supports Microsoft through an external staffing partner, Allegis Global Solutions (AGS). If hired, you will be employed by AGS rather than by Microsoft directly.

The role sits within the EMEA Technical Services Organisation and supports a VP based in Rome, together with other senior leaders across the wider leadership group. It is a business administrator position centered on high-touch executive support, with a strong emphasis on managing busy schedules, coordinating across time zones, and keeping leadership operations running smoothly.

The ideal person will be exceptionally organised, comfortable working with limited direction, and able to handle sensitive information with discretion. You should bring a positive approach, strong written and verbal communication skills, and the ability to build productive working relationships with stakeholders across the UK and Europe.

What you'll do

  • Own complex diary management for senior leaders
  • Arrange meetings across EMEA and global time zones
  • Handle international travel arrangements, including flights, accommodation, ground transport, and visa coordination
  • Prepare and submit expense claims, then monitor their progress
  • Raise purchase orders and help manage procurement-related tasks
  • Support meeting preparation through materials and presentation coordination
  • Serve as a reliable first contact for leadership administrative needs

Must-have experience

  • At least 5 years of experience in an Executive Assistant or Administrative Assistant capacity
  • Proven support for Director- or VP-level stakeholders
  • Strong experience managing demanding, high-volume calendars
  • Hands-on background in travel coordination
  • Practical exposure to expense processing and reporting
  • Basic knowledge of procurement processes and purchase orders
  • Advanced confidence with Microsoft Office, especially Outlook, Excel, and PowerPoint
  • Ability to work independently in a remote, international environment
  • Strong stakeholder communication skills
  • Excellent organisation and prioritisation skills without needing close supervision

Preferred background

  • Experience working with global or EMEA-based teams
  • Previous employment in a large corporate or technology environment
  • Comfort using internal systems for expenses and procurement
  • Experience supporting more than one leader at the same time

Working details

This is a remote role based in the UK. The assignment lasts 11 months and 25 days. Working hours are Monday to Friday during business hours, with a 40-hour weekly schedule. The pay range is £105 to £120 per day under PAYE. This is a contract engagement delivered through AGS, and selected candidates will be employed by AGS.
