Job Overview
The Document Controller will manage the flow and control of all project-related documentation throughout its lifecycle ensuring accuracy, accessibility, and compliance with established protocols.
Key Responsibilities
- Manage incoming and outgoing project records aligned with defined procedures.
- Reproduce and distribute documents as necessary to project teams.
- Coordinate timely review, approval, and documentation processes effectively.
- Maintain comprehensive control of documents including cataloguing, posting, distributing, tracking, and compiling both hard and electronic copies at every stage of the project.
- Support project teams by coordinating document statuses and their distribution.
- Audit documentation to confirm all project files are current and that proper documentation protocols are followed by relevant parties.
- Ensure adherence to project documental control policies to maintain an organized document management system.
- Assist in managing change control and document control workflows for projects.
- Keep track of all document correspondences and transactions.
- Organize and archive documents systematically for easy retrieval.
- Complete requests, conduct searches, and respond to queries efficiently.
- Prepare and hand over final as-built documentation upon project completion.
Qualifications and Experience
- Possession of at least an O levels certificate or an equivalent qualification.
- A minimum of five years' experience in registry and document management roles.
- Strong skills in document control; familiarity with ISO 9001 standards is advantageous.
- Proficient with MS Office suite, especially spreadsheets, and experienced in managing file systems.
- Hands-on experience with Project Information Management and Electronic Document Management Systems (EDMS).
