Role Overview
We are searching for a skilled Document Controller to become part of our dynamic project team based in Dublin. The role will require supporting the Site Project Team to manage all project-related documents according to industry best practices and aligned with Flynn’s Quality Management System.
Key Responsibilities
- Perform daily administrative duties within the project office to assist project management teams.
- Review and revise technical documentation such as manuals and workflow materials.
- Produce regular project status reports.
- Oversee the circulation of project documentation within the office.
- Develop and implement project file naming conventions in collaboration with the project team, consistent with Flynn and client guidelines as well as ISO19650 standards.
- Archive project files and ensure team members have access to necessary documentation.
- Support audit preparations to confirm compliance with regulatory and quality standards.
- Maintain office sign-in logs and timesheets.
- Adhere to project schedules and programming requirements.
- Place and raise purchase orders as needed.
- Arrange access for third parties and new/existing team members.
- Manage document transmissions via the SharePoint system.
- Handle the Change Management Process including preparation, management, and distribution of change alerts and orders.
- Provide training for new users on client internal document control systems.
Candidate Profile
- Minimum of two years’ experience in a document control role.
- Familiarity with software such as Procore, Asite, and BIM360 is advantageous.
- Experience using document management systems, preferably Procore or collaboration platforms such as BIM360/ACC.
- Construction industry experience is preferred.
- Understanding of ISO19650 standards relating to document naming, revision control, and suitability codes.
- Strong multitasking abilities.
- Dependable, enthusiastic, and reliable disposition.
- Ability to work independently and collaboratively within a team.
- Excellent communication skills and high proficiency in written English.
- Outstanding organizational skills to ensure accurate and complete document management for tenders.
- Proficient with Microsoft Office applications (Excel, Word, PowerPoint).
- Fluent English language skills.
