Job Responsibilities
- Oversee and organize precise record-keeping and data management utilizing Excel and the Aconex platform.
- Compile, arrange, and monitor documents, reports, and all project-related information efficiently.
- Guarantee accurate control and prompt dissemination of project correspondence.
- Maintain and update Excel-based trackers, databases, and status reports consistently.
- Collaborate with internal departments and external stakeholders to facilitate smooth document exchanges.
- Track document progress, approvals, submissions, and modifications through Aconex.
- Generate routine management reports and provide timely progress updates.
- Ensure compliance with company standards and project specifications for all documentation.
- Administer quality assurance protocols to uphold documentation integrity and procedural adherence.
- Manage the production and reproduction of drawings and technical documents for organizational use.
Candidate Qualifications
- Possess a minimum of eight years of experience in document control or records management.
- Expert user of the Aconex platform with skills in document logistics and workflow management.
- Advanced proficiency in Microsoft Excel, including use of formulas, databases, and reporting tools.
- Established ability to develop and enforce comprehensive document management systems and processes.
- Proven capability in managing complex documentation workflows aligned with quality standards.
- Exceptional organizational skills, with acute attention to detail and precision.
- Strong communication skills to effectively coordinate across multiple teams and stakeholders.
- Adept at working autonomously and managing multiple priorities simultaneously.
- Experience in document production and technical material duplication is required.
