About the Role

The District Admin & PRO position plays a vital role in overseeing government relations, immigration affairs, and administrative functions for both associates and the organization in Qatar. The individual will serve as the primary contact with Qatari governmental bodies such as the Ministry of Interior (MOI), Labor Department, Immigration, Environment, Customs, and Ports, ensuring adherence to all local laws and regulations. This role also entails high-level administrative assistance to district leadership and coordination of regional requests, including some documentation related to the UAE (specifically JAFZA/Mainland).

Core Responsibilities

  • Administer residency permits, work and dependent visas, including renewals and cancellations.
  • Interface directly with authorities such as MOI, Labor, Immigration, Ministry of Environment, and others.
  • Manage business visa processes for visitors occupying critical roles.
  • Coordinate issuance of site access passes for employees in Mesaieed and Ras Laffan industrial areas.
  • Keep comprehensive and accurate records of all residency IDs, passports, and government documents.
  • Provide guidance to management regarding regulations and legal changes.
  • Register Harmonized System (HS) Codes for products and coordinate with customs and port agencies regarding shipments and paperwork.
  • Ensure that business and trade licenses, along with corporate filings, are obtained and renewed on schedule.
  • Offer executive support including calendar management, meeting organization, travel logistics (incorporating visa applications), and expense monitoring.
  • Develop reports, presentations, and data dashboards for district leadership.
  • Assist HR functions related to onboarding, promotions, transfers, employee exits, and asset management.
  • Manage office supplies, vendor interactions, and internal systems for effective operations.
  • Maintain SharePoint and shared drive repositories for document management and team collaboration.
  • Safeguard audit-ready records connected to immigration, licensing, and insurance compliance.
  • Monitor important dates for renewals and inspections, implementing alert systems.
  • Ensure all activities align with confidentiality requirements and local legal standards.

Requirements

  • Diploma or higher qualification; Bachelor’s degree is preferred.
  • 3 to 5 years’ experience in Public Relations Officer (PRO), Government Relations Officer (GRO), or Office Administration roles.
  • Comprehensive knowledge of Qatar’s immigration and labor regulations and government processes.
  • Fluency in both written and spoken English and Arabic.
  • Proficient with Microsoft Office suite, email communication, and document management tools.
  • Must hold a valid Qatar ID (QID) with No Objection Certificate (NOC) and a Qatar driving license.
