Job description
Role Overview
As a Dispatch Executive at Limese Retail, you will be central to managing the end-to-end logistics and dispatch processes. This includes coordinating order fulfillment, handling reverse logistics, overseeing invoicing, and maintaining accurate data records to ensure smooth warehouse operations and timely delivery.
Key Responsibilities
- Collaborate with warehouse teams to pick, pack, and label shipments according to both bulk (B2B) and e-commerce (B2C) sales orders.
- Schedule shipments with logistics partners like Delhivery, Xpressbees, and arrange local transportation, including negotiating spot freight rates when necessary.
- Produce and verify all shipping documents such as e-way bills, packing slips, and GRN copies before dispatch.
- Maintain a real-time dispatch tracker ensuring all shipments are scanned, manifested, and handed over on schedule.
- Address and resolve any issues involving dispatch delays, misrouted inventory, or documentation errors immediately.
- Identify stocks eligible for return to vendors due to damage, expiry, defects, or slow movement as per company policy.
- Manage the reverse logistics process by generating RTV challans, coordinating return authorizations, and arranging pickups with vendors.
- Reconcile credit and debit notes from vendors based on returned quantities and track RTV shipments for timely credit settlements.
- Maintain ERP system data integrity by accurately logging all incoming purchase order receipts and outgoing sales returns and dispatches using software like Tally, SAP, Unicommerce, Zoho, or Odoo.
- Perform daily stock ledger updates and promptly investigate discrepancies between physical inventory and system records.
- Generate daily operational reports including dispatch summaries, pending RTV reports, invoice pending lists, and stock ageing details.
- Issue tax-compliant GST invoices for all dispatches — including sales invoices, credit notes for returns, and debit notes for RTVs — ensuring all invoice details align with approved orders.
- Ensure no shipment departs the warehouse without corresponding verified invoices and cooperate with the accounts department for invoice processing.
- Analyze freight charges across carriers for cost optimization and maintain systematic filing of customer Proof of Delivery documents.
- Handle customer returns by inspecting condition, generating inward challans, initiating refunds or replacements, and managing restocking or RTV routing.
- Support internal and statutory audits by providing complete dispatch, invoicing, and RTV documentation as required.
