Dispatch Coordinator

About the Role

GRC Ltd, a Calgary-based trucking firm managing 40-50 reefer and dry van trucks operating cross-border freight between Western Canada and the US, is expanding its remote team in India by hiring experienced dispatch coordinators. This role involves direct contractor engagement, collaborating closely with our Canadian dispatch desk. It is a substantive dispatch position that offers growth potential.

Key Responsibilities

• Prepare and submit Canadian and US customs eManifests (ACI, PARS, PAPS) and provide crossing packets to customs brokers.
• Create orders and organize trips using the Transportation Management System (TMS) — assign trucks, trailers, and drivers; split border legs; update arrival and departure times.
• Perform tracking and tracing duties to manage pick-up and delivery updates, ETA, and respond to broker and customer inquiries.
• Communicate regularly with drivers through WhatsApp and phone regarding status updates, paperwork, and border documentation.
• Leverage AI tools to accelerate repetitive tasks, verify documents, and monitor loads for exceptions.
• As experience grows, plan inbound and outbound truck coverage on established lanes.
• Take responsibility for booking freight within set rates and cost per mile frameworks as competence is demonstrated.

Standards and Expectations

• Respond to drivers within 2 minutes; acknowledge requests immediately if unable to resolve instantly.
• Respond or escalate customer and broker communications within 5-10 minutes.
• Maintain accuracy above speed — errors in customs filings are costly and must be avoided.
• Report mistakes promptly without fear of blame, but avoid repeating errors.

Candidate Profile and Requirements

• Minimum 2 years of practical experience in US or Canadian truck dispatch (carrier side or BPO).
• Working knowledge of customs filings such as ACI, ACE, PARS, PAPS eManifests.
• Proficient user of TMS and load boards.
• Experienced in AI tools with critical judgement to check their outputs.
• Excellent verbal and written English communication skills.
• Fluency in Punjabi and/or Hindi for daily driver communications.
• Willing and able to work rotating shifts, including weekends, covering a 24/7 operation with alternating days off.
• Fast learner with sharp problem-solving skills; able to grasp new concepts quickly.

Work From Home Requirements

• Own laptop or desktop with Intel i5 processor or better and at least 8GB RAM.
• Dual monitor setup mandatory for handling multiple systems simultaneously.
• Reliable wired broadband with minimum 50 Mbps speed plus mobile hotspot backup.
• Power backup solution such as inverter or UPS.
• Quiet environment suitable for calls and a functional headset.
