About the Role
The Customer Service Representative is responsible for efficiently processing visa applications by meticulously reviewing documents and managing applicant interactions both in-person and through communication channels such as email and telephone. This role involves handling financial transactions, accurate data management, biometric enrollment, and ensuring compliance with visa regulations and internal policies.
Key Responsibilities
- Thoroughly examine submitted documents to process visa applications accurately and efficiently.
- Respond to customer and applicant inquiries either face-to-face, by email, or over the phone.
- Manage cash and bank-related transactions as assigned.
- Maintain detailed and precise records of application data, ensuring all entries are timely and free from errors. Adhere strictly to data purging policies and routinely verify that no personally identifiable information remains unauthorized.
- Stay current with visa rules and fees by engaging with provided trainings and VAC Manager updates.
- Perform essential checks during visa application processing and conduct biometric enrollments in accordance with Mission standards.
- Manage applicant flow efficiently, particularly during peak periods.
- Oversee the logistics and administration related to passport delivery to consulates, applicants, and logistics companies according to established procedures.
- Ensure adherence to Service Level Agreements and maintain compliance with the organization's Information Security Policy.
- Follow standard operating procedures precisely without any deviations.
- Support the team and management in promoting Value Added Services to applicants to boost sales.
- Complete all workflow steps within the mandated turnaround times.
- Monitor and minimize errors to prevent penalties, maintaining error logs aligned with team objectives.
- Enhance customer and Mission satisfaction by refining processes, introducing innovative productivity improvements, and optimizing cost effectiveness.
- Bring forward creative ideas and best practices to improve operations continuously.
- Participate actively in trainings and internal audits aimed at process certification and quality assurance.
- Assist management with securing physical and data assets at the Application Centre, ensuring robust controls against security breaches.
- Contribute to ongoing improvements with Deputy and Operations Managers.
- Practice resource conservation and uphold Environment, Health, and Safety standards and policies.
Performance Indicators
- Meet productivity targets as defined in team objectives.
- Achieve zero customer complaints and meet specified applicant satisfaction benchmarks.
- Ensure prompt and flawless data entry and reporting.
- Maintain excellent attendance and engage in all required training sessions.
- Adhere strictly to turnaround times and service standards.
- Complete customer surveys covering at least 5% of applications to gather feedback.
- Report any incidents immediately to relevant managers.
- Maintain incident-free operations concerning process integrity and document security.
- Ensure compliance with internal audits and support process monitoring initiatives.
- Track and reduce daily errors and update related performance grids continually.
Collaborations
- Interact with external stakeholders such as travel agents, applicants, representatives, and Mission officials as applicable.
Qualifications and Experience
- Education: Minimum completion of High School Diploma or ongoing graduation with at least 12 years of formal education; graduates or equivalent are preferred.
- Experience: One to two years in travel, tourism, or service industry roles is desirable.
Skills and Competencies
- Proficient in Microsoft Office applications with good typing speed.
- Capacity to adapt quickly and respond effectively to customer queries and complaints.
- Strong customer focus and orientation.

Additional Requirements
- Fluent reading, writing, and speaking abilities in the local language and English.
