Job description

About Australian Wildlife Conservancy (AWC)

AWC is a pragmatic global leader in conservation, committed to restoring landscapes and securing the future of Australia's most endangered species through science-based, impactful actions. United by our passion for Australia's unique wildlife and habitats, we aim to conserve biodiversity effectively with the involvement of the community.

Our values guide everything we do, emphasizing accountability, informed decision-making, respect, dedication, innovation, and sustainability.

Role Overview

The Contract Administrator acts as the focal point for contract management at AWC, overseeing all stages including intake, review, securing expert advice, documentation, approvals, execution, record-keeping, handling contract variations, renewals, and extensions. This role also offers initial guidance on AWC's contract procedures, approved templates, and documentation standards.

Key responsibilities include early risk identification, facilitating appropriate escalations, ensuring compliance with delegated authorities, improving consistency and governance of contract activities, and enhancing staff skills through guidance and training.

Key Competencies

  • Expertise across the contract lifecycle: from intake, negotiating, execution, to monitoring and renewals.
  • Strong risk awareness with the ability to judge contractual and compliance issues accurately and escalate them appropriately; while identifying potential legal matters, not providing legal advice.
  • Excellent communication skills, both written and verbal, with keen attention to detail and the ability to simplify process explanations for diverse audiences.
  • Effective organizational and prioritization skills, managing multiple contracts, maintaining meticulous records, and adapting to shifting priorities.
  • Ability to interpret policies, templates, and documents logically to make practical decisions.
  • Proven experience in fostering collaboration, coordinating across teams, and guiding staff through contract requirements constructively.
  • Proficiency with business software such as Microsoft Word, Outlook, and Excel.
  • A proactive approach toward continuous improvement by identifying repetitive issues and developing helpful resources and workflows.
  • Professional and respectful interactions with colleagues across various environments, including remote and high-risk settings.
  • A genuine commitment to conservation and teamwork in support of AWC's mission.

Qualifications and Legal Requirements

  • A relevant qualification in contract administration, procurement, project management, business, or related fields is preferred.
  • Legal authorization to work in Australia is mandatory.

Additional Information

  • Applicants must be Australian citizens, permanent residents, or hold an appropriate visa; sponsorship is not provided.
  • Pre-employment checks may include a national police check, online medical examination, and values-based assessment; applicants bear the cost of the police clearance.
  • Applicants consent to receive ongoing communications from AWC unless they choose to opt out.
  • AWC values diversity and inclusion, welcoming applicants from First Nations backgrounds, individuals with disabilities, the LGBTIQA+ community, neurodivergent persons, and those from varied cultural and linguistic backgrounds.

Interested candidates should prepare a CV and cover letter addressing the key competencies and apply through the specified process.
