Job description

About Vantrock

Vantrock is a specialized independent platform in India focused exclusively on real assets, initially targeting logistics and industrial sectors. The company is helmed by founder Anshul Singhal, who has successfully developed and delivered over 52 million sq ft of real estate assets and led major investment funds and exits. Vantrock maintains an in-house finance function handling all accounting, forecasting, corporate finance, compliance, and IT under a small but expanding team structure focused on long-term platform building.

Role Overview

This position is for an experienced Company Secretary intermediate-level professional with 6 to 10 years of hands-on experience in company secretarial filings including ROC, LLP, annual returns, and registrar queries, managing complex compliance demands for multiple entities through in-house platforms. The role reports to the Head of Legal & Compliance, with no direct reports, working closely with the qualified company secretary and paralegal. The function emphasizes execution and detailed knowledge of filing portals and compliance calendars rather than legal drafting or decision making.

Key Responsibilities

  • Manage end-to-end ROC and LLP filings for numerous entities, ensuring timely preparation, attachment, signature processing, filing, acknowledgement capture, and calendar compliance.
  • Handle follow-up on registrar queries including resubmissions, clarifications, and notices, escalating only nonprocedural issues to management.
  • Maintain and update statutory registers accurately for different entities, cross-verified against filings and source documents, always ready for inspection.
  • Coordinate comprehensive annual compliance cycles including returns, director-related filings, and LLP annual compliances, improving and managing checklists annually.
  • Master and maintain expertise on MCA portals, digital signatures, and secretarial software tools, while supporting team training on these systems.
  • Ensure registration and satisfaction of security and charge filings for lenders in coordination with corporate finance, avoiding delays in facility drawdowns.

Candidate Profile

Essential qualifications include passing the Company Secretary Intermediate (Executive) examination and possessing practical experience of 6-10 years performing company secretarial and ROC compliance functions, ideally within firms or corporate groups managing multiple entities. Candidates must have extensive experience preparing hundreds of filings and managing registrar correspondences. Proficiency with digital filing platforms such as MCA portals and related secretarial software is required. Calm, detail-oriented, and deadline-driven personalities based in the Mumbai region are preferred.

Desirable qualifications include prior experience working in real estate development groups or SPV-heavy environments, volume LLP compliance, and training juniors in secretarial processes.

Role Clarifications

  • This position is not the qualified company secretary role responsible for signing documents.
  • It is not a seat for legal judgement but rather for flawless execution with escalation of issues.
  • The role involves no legal drafting responsibilities.

Work Culture and Evaluation

The role supports a build-from-zero mindset valuing technology fluency, accountability, and openness to learning. Fluency with AI tools is mandatory, including passing a supervised AI proficiency test during selection. The team manages relationships with auditors, banks, and law firms proactively. Applicants can expect a structured assessment process involving AI-powered questionnaires, a practical filings exercise, interviews with the Head of Legal & Compliance, and reference checks.

Additional Information

  • Location: Mumbai Metropolitan Region, on-site, full-time.
  • Compensation is market competitive, benchmarked toward upper quartile, weighted with equity incentives and bonuses linked to performance and seat growth.
  • Applicants are requested to submit detailed application packets including CV, a filings sheet outlining past filing responsibilities, notice period, and a short paragraph about common ROC filing rejection causes and checks performed.
  • Applications are thoroughly reviewed confidentially; the company encourages those ready for ownership rather than just employment.
