Cluster Engineering Coordinator

About the Role and Company

Located at Souq Waqif Boutique Hotel by Tivoli in Doha, Qatar, this role is part of Tivoli Hotels & Resorts, a luxury collection known for timeless hospitality and authentic local experiences since 1933. The Cluster Engineering Coordinator supports engineering operations across three properties: Souq Waqif Boutique Hotel, Al Najada Hotel, and Al Najada Doha Hotel Apartments by Oaks, administering and streamlining maintenance, procurement, and communication for engineering activities.

Primary Responsibilities

• Provide daily administrative and coordination assistance to the cluster's engineering team.
• Oversee and follow up on maintenance tasks and work orders across the three properties to ensure timely completion.
• Maintain comprehensive and accurate records of maintenance requests, inspections, engineering reports, contracts, and certificates.
• Coordinate activities between engineering and other departments such as Front Office, Housekeeping, Food & Beverage, and Security.
• Assist with scheduling meetings, inspections, and departmental activities for the Cluster Director of Engineering.
• Help organize and monitor preventive maintenance schedules, highlighting overdue activities.
• Manage work order documentation and track their completion status, escalating urgent issues as necessary.
• Support procurement processes by preparing purchase requests and coordinating with suppliers for timely delivery of materials and equipment.
• Coordinate with external contractors regarding site visits, maintenance work, and document management.
• Ensure compliance with hotel and regulatory standards through meticulous maintenance of documentation and support of audits.
• Assist in monitoring and reporting on utility consumption and sustainability initiatives.
• Communicate promptly and clearly within the engineering team and hotel departments to streamline operations.

Additional Information

The coordinator must maintain confidentiality of all engineering, operational, financial, and supplier-related information. Strong organizational skills and the ability to juggle multiple tasks across various properties are essential. The role involves preparing reports and attending meetings, tracking key performance indicators such as timely maintenance closure and data accuracy.
