About the Role
As a Change Portfolio Administrator, you will be integral to supporting the governance, administrative tasks, and reporting functions that ensure the smooth operation of the Bank's transformation portfolio. Embedded within the Technology and Transformation leadership team, you will ensure that forums are efficiently organised, capture decisions and actions precisely, maintain accurate documentation, and provide leaders with the necessary data to effectively oversee transformational initiatives.
This is a full-time, fixed-term position running until the end of December 2027. Working hours are from 8:30 am to 5:00 pm, Monday through Friday.
Key Responsibilities
- Organising Steering Committee meetings, project governance sessions, and leadership forums, which includes preparing agendas, coordinating meeting logistics, assembling papers, taking minutes, and following up on actions.
- Maintaining detailed governance records that ensure all actions, decisions, risks, issues, and approvals are documented, tracked, and readily accessible.
- Assisting with portfolio reporting by gathering updates, preparing presentation packs, and supporting leaders to understand progress, dependencies, budget statuses, and escalation matters.
- Managing transformation tools and templates to promote uniformity across governance procedures, reporting cycles, and portfolio documentation.
Required Qualifications and Skills
- Proven experience in administration and coordination, preferably supporting committees, leadership forums, governance meetings, or related business functions.
- Ability to confidently prepare agendas, minutes, action registers, reports, presentations, spreadsheets, and clear documentation.
- Advanced proficiency in Microsoft Office suite, especially Word, Excel, and PowerPoint, as well as an aptitude for learning new governance, reporting, or workflow software.
- Exemplary professionalism, strong attention to detail, discretion, and confidence when interacting with senior stakeholders and handling confidential information.
- Excellent written and verbal communication capabilities, ensuring structure, clarity, and follow-through in a dynamic transformation setting.
