Job Purpose
The CAFM Operator will be responsible for clerical tasks involving the use of Computer Aided Facilities Management (CAFM) or Computerized Maintenance Management Systems (CMMS) software, ensuring creation and maintenance of precise facility data records.
Key Responsibilities
- Enter and manage asset data accurately in the CAFM/CMMS system according to company procedures, ensuring proper documentation and storage.
- Input planned maintenance schedules and raise reactive maintenance work orders for technical personnel.
- Inspect data records for accuracy, maintaining legibility and integrity both manually and digitally.
- Generate automated reports on preventive and reactive maintenance activities to monitor status.
- Compile periodic reports efficiently for client communication and feedback.
- Organize, classify, and retrieve files adhering to company’s filing system.
- Document material movements within computer systems.
- Communicate effectively with customers, employees, and support teams through help desk operations about work order statuses.
- Complete and follow up on work schedules, ensuring closure of tasks within the system.
- Continuously update records and close completed tasks in the system.
Required Skills and Qualifications
- Technical diploma qualification.
- Excellent command of English, both verbal and written.
- Proficient in Microsoft Office applications including Word, Excel, Access, and PowerPoint.
- Two to three years of relevant experience in facilities management or related clerical roles.
Competencies and Personal Attributes
- Comprehensive understanding of CAFM and CMMS systems.
- Solid knowledge of Facility Management principles and terminology.
- Strong administrative and clerical skills.
- Good interpersonal communication capabilities.
- Collaborative team player with a delivery-oriented approach.
