About the Role

Join BSI's Finance Business Services team as a Billing Specialist based in Milton Keynes, operating in a hybrid work arrangement. This full-time, permanent position is responsible for accurate and timely invoicing and credit note processing within a designated billing portfolio. Reporting to the Billing Manager/Team Leader, you will oversee end-to-end billing operations ensuring compliance with contracts, tax laws, and statutory requirements.

You will collaborate with departments such as Sales, Operations, Credit & Collections, and Finance to address billing inquiries, reduce disputes, and aid effective cash collection. The role demands meticulous attention to detail, relevant billing or finance operations experience, and the capacity to thrive in a dynamic, deadline-oriented environment.

Key Responsibilities

  • Process assigned invoices, credit notes, and billing volumes promptly and in accordance with SLAs and billing schedules.
  • Verify billing information including contracts, purchase orders, pricing, tax treatment, customer details, and related documents.
  • Generate accurate invoices and credit notes complying with contract terms, statutory, VAT, and customer specifications.
  • Handle e-billing systems and customer portals; promptly resolve invoice rejections and technical issues.
  • Monitor billing backlog, prioritize items impacting cash flow, and escalate problems when necessary.
  • Investigate and resolve billing disputes in coordination with internal teams such as Sales and Credit Control.
  • Maintain thorough billing documentation, approvals, audit trails, and records as per company policies.
  • Manage billing of expenses and pass-through costs, ensuring all charges are verified with appropriate documentation.
  • Conduct billing reconciliations and housekeeping to assure accurate revenue and accounts receivable records.
  • Ensure adherence to internal controls, invoicing regulations, VAT obligations, and governance standards.
  • Support month-end and year-end billing activities, including reporting, backlog management, and audit requests.
  • Participate in continuous improvement initiatives, including process standardization, system upgrades, and team knowledge sharing.

Qualifications and Skills

  • At least three years of billing experience managing complex billing cycles and processes.
  • Proficiency in SAP or similar ERP systems with the ability to navigate multiple financial platforms confidently.
  • Exceptional accuracy, analytical aptitude, and ability to meet deadlines under pressure.
  • Strong communication skills to resolve issues and foster collaborative relationships with stakeholders.
  • Advanced organizational skills, capable of prioritizing workload independently and managing shifting priorities effectively.
  • Competent in Microsoft Excel, including formulas and pivot tables, along with other Microsoft Office tools.
  • Familiarity with contract-to-billing workflows, VAT/GST rules, statutory invoicing, and e-billing portals is desirable.
  • Educational background equivalent to GCSE Maths and English, coupled with a proactive and customer-centric approach.

Salary and Additional Information

The salary for this position ranges between £28,050 and £33,000 annually, with the specific amount commensurate with experience and expertise.
