Role Overview
The Billing Coordinator role, based in Toronto, ON, is a full-time, on-site position responsible for preparing, validating, and issuing invoices related to freight, warehousing, and associated logistics services in line with company policies and client agreements. Regular tasks involve verifying billing information, reconciling charges, maintaining accurate billing records, and addressing discrepancies with internal departments and clients.
Key Responsibilities
- Generate, review, and dispatch precise customer invoices for ocean, air, ground, and other freight forwarding services.
- Cross-check carrier, vendor, and overseas agent invoices with shipment data, quotes, and agreed-upon rates.
- Collaborate with Operations and Accounting to resolve billing inconsistencies, missing fees, and invoice corrections.
- Track unbilled shipments, pending invoices, and shipment costs to ensure prompt billing and accurate revenue reporting.
- Maintain billing records diligently and prepare periodic reports while addressing customer questions about freight charges, invoices, and payments.
Qualifications and Requirements
- Up to one year of experience in international logistics, preferably freight forwarding.
- Entry-level applicants with an interest in international trade and relevant coursework or projects in logistics are encouraged to apply.
- Bachelor’s or College Degree in Supply Chain Management, International Business, or related disciplines; certificates or short-term programs accepted.
- Fundamental understanding of billing procedures including invoicing and using billing systems.
- Strong analytical abilities for data examination, identifying billing discrepancies, and supporting financial reports.
- Clear and professional communication skills to interact effectively with internal teams and external clients.
- High attention to detail, excellent organization, and capacity to manage multiple billing deadlines efficiently.
