Role Overview

Halter is seeking a skilled Billing Administrator to efficiently manage invoicing processes and act as the reliable billing liaison for customers and internal departments. Rather than a quiet finance role, this position involves regular communication with farmers and ranchers across New Zealand, Australia, and the US, alongside close collaboration with Sales, Account Management, and Finance teams.

Key Responsibilities

  • Take full ownership of the entire invoicing cycle, preparing and reviewing precise and timely invoices for customers in multiple countries, including New Zealand, Australia, and the US.
  • Maintain and update accurate customer billing records such as contracts, subscription details, pricing, credits, and collar counts.
  • Reconcile invoices against contract terms and system data to ensure billing accuracy.
  • Identify and improve process inconsistencies as billing operations scale with company growth.
  • Serve as the primary contact for customer billing inquiries through phone, email, and Slack, ensuring clear and empathetic resolution.
  • Conduct phone conversations comfortably and confidently with farmers and ranchers to clarify billing and payment matters.
  • Support internal teams—Sales, Account Management, Finance—by providing expert billing guidance, rapid responses, and process transparency.
  • Collaborate with Finance during month-end activities, reporting, audits, and continuous process enhancements.
  • Assist the debt collection process by handling reminders, escalations, and maintaining positive customer relationships.
  • Record detailed notes on conversations, payment arrangements, and escalate potential risks promptly.

Candidate Profile

  • Minimum two years experience in billing, accounts receivable, or invoicing roles, preferably within high-volume subscription or SaaS environments.
  • Strong phone communication skills; comfortable engaging customers in firm yet courteous financial discussions.
  • Excellent written and verbal communication to explain billing matters clearly tailored to farmers, sales professionals, and accountants.
  • Meticulous attention to detail with a commitment to accuracy.
  • Appreciation for established processes, including following, documenting, and enhancing them.
  • Technologically adept using billing platforms or ERP systems like NetSuite or Xero, along with Excel or Google Sheets proficiency.
  • Ability to manage multiple competing priorities calmly in a fast-paced setting.

Desirable Skills

  • Experience handling multi-currency or multi-entity billing for regions including New Zealand, Australia, and the United States.
  • Familiarity with NetSuite, Salesforce, or similar CRM/ERP tools.
  • History of scaling finance functions by establishing and refining billing processes.
