The Role
Smart & Biggar is seeking bilingual Billing Clerks to join the National Finance Team in Montreal. This is a newly created position suited for meticulous and cooperative individuals focused on ensuring accuracy and excellent client service throughout the full billing cycle.
Key Responsibilities
- Prepare, examine, and send client invoices aligned with firm policies and Delegation of Authority guidelines
- Create and circulate proforma invoices for approval
- Submit invoices through e-billing systems and client portals adhering to compliance and client specifications
- Track invoice statuses, investigate rejections or reductions, and address issues as required
- Engage with internal and external stakeholders to resolve billing concerns and obtain any missing data
- Work with legal practitioners to review work-in-progress for prompt billing
- Manage billing amendments, write-offs, transfers, and reissued invoices as authorized
- Keep billing profiles, client instructions, and documentation up to date
- Provide timely and professional responses to billing inquiries, evaluating urgency and next steps
- Support month-end and year-end billing closing, accruals, and reporting needs
- Carry out additional financial or administrative duties related to billing as assigned
Candidate Profile
- Post-secondary education in Accounting, Finance, or a related discipline is an advantage
- Minimum of one year experience in billing or administrative functions, preferably within professional service firms
- Bilingual proficiency in French and English, with mandatory fluency in English to serve international clients
- Experience using e-billing systems; familiarity with 3E Elite or E-Billing Hub is beneficial
- Competency in MS Office applications, especially Excel
- High attention to detail coupled with the ability to juggle multiple priorities effectively
- Strong communication, problem-solving skills, and organizational capability
- Capacity to work autonomously under pressure to meet deadlines
Compensation
The salary range for this position is set between $47,000 and $57,000 annually. Actual pay will be influenced by location, relevant experience, qualifications, and internal salary alignment.
