Job Overview

The role of Bid Coordinator is integral to managing the entire cycle of bid preparation and submission for public and private sector tenders, expressions of interest, pre-qualification questionnaires, and other bidding opportunities.

Key Responsibilities

  • Lead the coordination of bid submissions ensuring all requirements, deadlines, and compliance criteria from RFP and tender documents are fully understood.
  • Organize inputs from internal teams, consultants, and external partners to compile accurate and timely bid documentation.
  • Format and assemble bid documents adhering to RFP guidelines and company brand standards, including technical proposals, presentations, and qualification materials.
  • Maintain rigorous document control through versioning, proofreading, and quality assurance throughout the bid process.
  • Manage the bid content library and associated support databases to ensure resources are up-to-date and accessible.

Candidate Requirements

  • Prior experience in bid coordination, bid support, or comparable project administration in architecture, engineering, construction, or related industries.
  • Solid knowledge of public and private sector tendering procedures.
  • Possession of a relevant third-level degree or an equivalent qualification.
  • Strong organizational skills and ability to manage numerous deadlines and competing priorities effectively.
  • Meticulous focus on detail, ensuring all documents meet high standards of quality and accuracy.
  • Excellent communication skills, both written and verbal, and interpersonal capabilities to collaborate effectively.
  • Proficiency with Microsoft Office suite (Word, PowerPoint, Excel) and Adobe InDesign for producing polished professional documents.
  • Fluency in English is required; additional knowledge of German is advantageous.
  • A proactive and collaborative mindset with the ability to work autonomously as well as part of a team.

Compensation and Benefits

  • Competitive salary range between 344,000 and 345,000 depending on experience.
