Job description
Position Overview
The Associate Registrar will assist the University Registrar in delivering dependable and policy-compliant Registrar services that leverage digital technologies across KAUST. This position is responsible for daily operational execution involving academic records, registration, scheduling, enrollment verification, academic standing, classroom coordination, graduation processes, and official academic records management.
Key Duties and Responsibilities
- Oversee daily Registrar service operations including managing academic records, student registration, scheduling, enrollment confirmation, instructional space allocation, graduation document preparation, and events throughout the student lifecycle.
- Ensure services are delivered with consistency, precision, timeliness, and high quality, effectively managing escalation and prioritization, particularly during busy academic periods.
- Act as the primary business owner for Registrar-related student and academic data within the Student Information System (SIS), defining business requirements, data standards, internal controls, acceptance criteria, and readiness for changes affecting Registrar operations.
- Develop and enforce SIS functional workflows aligned with approved academic policies, steering system changes that impact Registrar workflows and ensuring user adoption and readiness.
- Own academic information governance including data stewardship, regulatory compliance, record management, and accreditation support.
- Coordinate with academic, administrative, and technical teams to guarantee operational accuracy, auditability, and alignment with University policies throughout the student lifecycle.
- Drive performance improvements and provide support to Registrar team members to enhance operational effectiveness.
Competencies and Skills
- Comprehensive knowledge of Registrar operations, including student records, registration, academic standing, scheduling, and graduation processes.
- Capability to translate academic policies into clear, actionable procedures, controls, data management rules, service expectations, and SIS-based workflows.
- Functional expertise in SIS-supported operations encompassing data stewardship, workflow design, report generation, system testing, and user acceptance procedures.
- Strong understanding of data governance principles, records confidentiality, academic integrity, audit compliance, and accreditation standards.
Qualifications and Experience
- Bachelor's degree in Information Systems, Business Administration, Computer Science, Education Administration, or a related discipline.
- Master's degree is advantageous.
- At least 7 to 10 years of practical experience in Registrar functions, postgraduate academic administration, student services, or higher education environments with similar responsibilities.
- Proven experience managing SIS-enabled Registrar operations is essential.
- Familiarity with Banner or comparable enterprise Student Information Systems is preferred.
