Job Purpose
The Associate Manager - Administration role is designed to lead and drive operational excellence by delivering cost-efficient, effective, and compliant administrative services and managing infrastructure that supports the organization and its employees.
Key Responsibilities
- Oversee the administrative budget and effectively manage resource allocation.
- Develop and implement plans to establish a reliable, cost-effective administrative infrastructure fostering employee well-being.
- Identify areas for process enhancements to improve efficiency, reduce costs, and boost productivity within administrative functions.
- Assist in strategic planning and execution of administrative initiatives that promote cost efficiency and staff welfare.
- Support change management efforts ensuring smooth transitions with minimal operational disruption.
- Contribute to the formulation and enforcement of administrative policies to streamline operations and guarantee compliance.
- Manage facility maintenance, security, and usage to maintain a safe and productive workplace environment.
- Allocate and optimize resources including equipment and supplies to satisfy departmental requirements.
- Monitor and ensure compliance with applicable laws and regulations to mitigate organizational risk.
- Liaise with external vendors for office maintenance and necessary repairs.
- Utilize knowledge of SAP systems to support administrative processes.
- Manage fire safety protocols, ensuring employee training in safe evacuation and maintenance of fire safety equipment meeting current standards.
- Collaborate with Site Admin heads to enhance employee transportation efficiency through data-driven analytics.
- Stay current with digital technology and AI trends to improve business operations and maintain competitive advantage.
- Foster a safe, respectful workplace culture; lead and mentor teams for collaborative, productive results and individual growth.

- External: Regulatory Agencies, Service Providers, Suppliers
Qualifications and Experience
- Graduate or Post-Graduate in any discipline, with preference for Administration.
- 8 to 15 years of pertinent experience in administration or operations, ideally within the port industry.
