Job Overview

We are seeking a meticulous and organized Assistant Project Manager to join our Buildings Design team based in Dubai. This role involves supporting the project management team by overseeing pre-contract processes to ensure effective project coordination and documentation. The focus is on collaborating internally across departments and externally with vendors to lay the groundwork required for successful hospitality projects.

Key Responsibilities

  • Organize and manage documentation related to vendors, contracts, and service agreements.
  • Assist in drafting project briefs, scheduling timelines, and planning resource allocation.
  • Facilitate communication between internal teams and external vendors to obtain and verify project details.
  • Maintain comprehensive and accessible project files covering all pre-contract documentation.
  • Support senior project managers with evaluating vendor proposals and generating comparative analyses.
  • Monitor pre-contract deadlines and deliverables to maintain timely progression.
  • Prepare meeting agendas, take minutes, and compile status reports for involved stakeholders.
  • Identify risks or issues in the early stages and escalate appropriately.
  • Customize and manage project templates and checklists tailored to hospitality sector needs.
  • Coordinate site visits and inspections during the pre-contract stage.
  • Handle administrative duties including scheduling meetings, managing correspondence, and vendor follow-ups.

Qualifications and Experience

  • Minimum of three years in roles such as project coordinator or assistant project manager.
  • Background in architecture or building engineering disciplines.
  • Deep understanding of hospitality industry operations and requirements.
  • Experience in mixed-use developments and hospitality-related construction is advantageous.
