Job description

Overview

The University of Canterbury is seeking an Asset Data Coordinator to maintain accurate and comprehensive information on the university's extensive property and asset portfolio, supporting enhanced facilities and asset management.

Key Responsibilities

  • Manage incoming asset data, address any discrepancies, and coordinate with relevant departments.
  • Organize field validation activities, including arranging access, equipment, documentation, and ensuring safety protocols.
  • Provide support to Field Data Validators to enhance their effectiveness.
  • Monitor data quality within the Fulcrum system and facilitate correction of errors, duplicates, and inconsistencies.
  • Advance asset records through validation and migration into Planon, working collaboratively with key managers to resolve complex issues.
  • Track project progress, maintain detailed registers, and generate clear and timely reports.
  • Develop and update guidance materials, training resources, and offer ongoing support.
  • Cultivate strong working relationships with departments, contractors, trade staff, and Facilities Management teams.

Candidate Profile

  • At least three years’ experience in administration, coordination, data management, or similar roles.
  • Proficient with technology systems including Microsoft Excel, Word, SharePoint, and mobile data capture tools.
  • Skilled at identifying data issues, asking pertinent questions, and ensuring timely resolutions.
  • Experience in asset management, data collection, or work management platforms is beneficial; familiarity with Fulcrum or Planon is an added advantage.
  • Interest in asset classification standards like Uniclass or willingness to gain knowledge.
  • Strong organizational abilities with aptitude for managing multiple priorities and deadlines.
  • Attention to detail and dedication to data accuracy.
  • Excellent communication skills with confidence to engage with a range of stakeholders from contractors to senior leaders.

Work Environment and Collaboration

The role operates within a campus comprising approximately 150 buildings across 87 hectares in Christchurch, emphasizing sustainability, inclusivity, innovation, and collaboration to maintain a secure and inspiring setting.
