Job description
Role Overview
This position supports the Western Region Business Services’ HR and Finance teams, undertaking a diverse set of administrative and assistance tasks. The role demands collaboration with internal and external stakeholders and requires flexibility within the Western Region Business locations.
Key Responsibilities
- Respond to general enquiries related to HR, Finance, and Regional Business via telephone and email.
- Maintain and update databases and spreadsheets accurately.
- Carry out regular audits of databases, timesheets, and lists to ensure data integrity.
- Assist with preparation, compilation, and distribution of various reports intended for Senior Management.
- Support routine financial, purchasing, and other administrative transactions.
- Record and assemble minutes and relevant documents during meetings.
- Manage incoming and outgoing correspondence across multiple units both digitally and physically.
- Update intranet content to reflect current policies and procedures.
- Foster and maintain effective working relationships with stakeholders.
- Provide clerical and administrative assistance to the Western Region Business Manager and Senior Business Analyst.
Qualifications and Experience
- Strong administrative abilities with a keen eye for detail, accuracy, and excellent time management.
- Ability to juggle multiple priorities efficiently.
- Proven customer service capabilities, demonstrating clear communication and respect for confidentiality.
- Team player with previous experience contributing effectively in small teams.
- Proficient in Microsoft Office applications and adaptable to new software systems.
- High regard for confidentiality and adherence to organizational values, particularly those of Victoria Police.
Additional Information
- One full-time, ongoing VPS2 level role is available.
- Salary range: $62,104 to $79,750 per annum plus superannuation benefits.
- Primary work location is the Western Region Headquarters in Geelong, although work at other locations within the Western Region Business may be required.
- Applicants must have Australian citizenship, permanent residency, or a valid work permit/visa.
