Position Overview
The Administrative Manager will oversee all daily administrative functions of the college, ensuring streamlined operations, prudent resource use, and superior support services for students, faculty, and staff. This leadership role encompasses managing administration, support services, maintenance, and safety while ensuring compliance with institutional policies and legal standards.
Key Duties
- Lead administrative teams to optimize delegation, performance, and productivity.
- Manage office workflows, including records, correspondence, and operational processes.
- Maintain and improve administrative efficiencies aligned with institutional goals.
- Coordinate office resources, supplies, facility management, and logistical support for events.
- Develop and oversee departmental budgets; track expenditure and generate financial reports.
- Support annual budgeting and resource planning cycles.
- Supervise scheduling of classrooms, meetings, and other institutional resources.
- Organize college events, conferences, and official meetings.
- Assist with academic scheduling and faculty assignment communications.
- Implement and monitor compliance with institutional policies and regulatory requirements.
- Continuously evaluate and enhance operational procedures.
- Serve as liaison among students, faculty, and administrative units; facilitate smooth administrative processes.
- Provide administrative support to academic departments as required.
- Serve as primary point of contact for administrative inquiries; prepare operational performance reports.
- Lead event planning and project execution including strategic initiatives and accreditation support.
- Maintain comprehensive and secure records, with oversight of digitization efforts.
- Champion continuous operational improvements and best practices in higher education administration.
- Promote a positive organizational culture, conduct performance reviews, and support staff development.
- Engage in crisis management, contingency planning, and ensure continuity under disruptions including remote operation readiness.
- Liaise with government agencies and regulatory bodies; oversee compliance submissions and respond to inspections.
- Coordinate accreditation efforts, quality assurance initiatives, audits, and institutional ranking activities.
- Support health, safety, and emergency preparedness programs throughout the college.
Qualifications and Experience
- Bachelor’s degree in Business Administration, Education, or related field. Master’s degree preferred.
- At least 3 to 5 years in an administrative or management position within an educational institution.
