Job description
Role Overview
A prominent organization in the real estate development industry in Jeddah is seeking an Administrative Coordinator to support its Legal Department. This role demands a meticulous, organized individual experienced in managing government-related platforms, official communications, and administrative coordination. Though a legal degree is not mandatory, candidates must possess familiarity with Saudi Labor Law and employment regulations, alongside effective follow-up and organizational capabilities.
Key Responsibilities
- Oversee and manage the Legal Department’s email accounts, ensuring prompt and professional responses.
- Handle communications and follow-ups related to governmental platforms and authorities.
- Manage transactions and correspondence through platforms such as Ejar, Municipality/Amanah, Balady, and the Real Estate General Authority (REGA).
- Submit and track government-related requests until full completion.
- Review and coordinate actions based on notifications, requests, and feedback via government platforms.
- Prepare, organize, and follow up on official letters and administrative correspondence.
- Maintain accurate records, ensuring correct filing and archiving of contracts, legal documents, and government transactions.
- Coordinate real estate transactions involving tenants and government entities.
- Collaborate with internal teams including Development, Sales, Finance, Operations, and Maintenance.
- Create and update tracking reports for government transactions, deadlines, and pending tasks.
- Ensure deadlines are met and all required documentation and actions are completed timely.
- Deliver administrative and operational assistance within the Legal Department.
- Uphold strict confidentiality concerning sensitive legal, contractual, employee, and company information.
- Perform additional legal administrative duties as assigned.
Qualifications & Requirements
- Diploma or Bachelor’s degree in Business Administration, Management, Law, or a related discipline.
- Experience with administrative coordination and handling government-related transactions and platforms.
- Practical knowledge of platforms such as Ejar, Amanah/Municipality, Balady, and REGA is strongly favored.
- Good understanding of Saudi Labor Law and employment regulations.
- Proficient with Microsoft Office Suite, especially Word, Excel, and Outlook.
- Advanced skills in email management, documentation accuracy, and task follow-up.
- Exceptional attention to detail handling documentation and transactions.
- Excellent organizational and multitasking abilities.
- Strong interpersonal, communication, and coordination skills.
- Prior experience in the real estate development sector is preferred.
