Role Overview
The Administrative Assistant role delivers essential clerical and organizational support to ensure efficient daily operations within the office. This position is structured to optimize administrative processes, maintain precise records, and facilitate effective communication among teams. Key Responsibilities
- Prepare, format, and carefully review various official documents including letters, reports, memos, and routine business papers.
- Update and manage electronic filing systems and databases, ensuring data confidentiality.
- Manage incoming calls, emails, mail distribution, and general inquiries professionally.
- Coordinate meeting schedules, reserve conference rooms, and send calendar invitations to internal and external participants.
- Welcome visitors, manage security passes, and provide preliminary assistance.
- Monitor and maintain office supplies and coordinate procurement as needed.
- Assist in organizing and supporting internal workshops, team events, and training sessions.
Interdepartmental Relations
- Frequently collaborate with department managers, administrative colleagues, HR, IT support, and cross-functional teams.
- Engage professionally with vendors, suppliers, visitors, and external clients.
Health, Safety & Environment (HSE) Responsibilities
- Comply with all company Quality, Health, Safety, and Environmental policies and legal standards.
- Report unsafe conditions, incidents, and near misses promptly to supervisors or QHSE teams.
- Properly use and maintain personal protective equipment (PPE) as mandated.
- Participate actively in safety inductions, trainings, meetings, drills, and investigations.
- Adhere to emergency protocols including evacuation, fire response, and first aid when qualified.
- Follow environmental protection protocols such as proper waste disposal and spill reporting.
- Contribute suggestions to improve QHSE procedures and support continuous enhancement efforts.
Qualifications & Certifications
- Diploma or Bachelor’s degree in Business Administration, Office Management, Literature, or related fields; equivalent practical experience also accepted.
Knowledge, Skills & Experience
- 1 to 3 years’ experience in administrative, clerical, customer service, or front-office roles.
- Proficient use of Microsoft Office (Word, Excel, PowerPoint, Outlook) or Google Workspace.
- Familiarity with assistive technologies such as screen readers, speech-to-text tools, or adaptive keyboards, where applicable.
- Strong written and verbal communication capabilities; fast and accurate typing and data entry skills.
- Effective time management and multi-tasking abilities.
