Job Overview

The Administration Manager is tasked with overseeing all administrative functions within both corporate and branch offices to promote seamless office operations and enhance employee experiences. Responsibilities span workplace management, facility upkeep, vendor and asset oversight, as well as supporting initiatives geared towards organizational well-being and inclusivity.

Primary Responsibilities

  • Manage daily office activities to ensure efficient administrative workflows and smooth operations.
  • Maintain and replenish office supply inventories while coordinating procurement processes.
  • Supervise upkeep of office infrastructure, equipment, and general facilities.
  • Provide administrative assistance to business units and leadership teams.
  • Oversee administrative functions at multiple branch locations, ensuring policy and process standardization.
  • Collaborate with branch stakeholders to address operational and facility demands.
  • Conduct regular branch inspections and audits to confirm adherence to company standards.
  • Monitor budgets, expenses, and vendor performance related to branch administration.
  • Support activities related to branch openings, relocations, expansions, and closures.
  • Identify and onboard vendors; negotiate and manage contracts for cost-effective administrative services.
  • Track vendor performance and ensure compliance with service level agreements.
  • Coordinate vendor invoice processing and prompt payment procedures.
  • Arrange employee travel logistics including accommodation and transportation.
  • Assist with corporate events, employee engagement programs, leadership visits, and meetings.
  • Maintain administrative documentation, including contracts and statutory records, ensuring regulatory compliance.
  • Generate management information system reports, administration dashboards, and expense overviews.
  • Support employee onboarding logistics such as workstation preparation and office access.
  • Handle employee facility-related queries and ensure a high-quality workplace environment.
  • Coordinate logistics for Board Meetings, Management Reviews, and Executive gatherings, including venue setup and hospitality arrangements.
  • Manage vendor and caterer liaising to provide quality food and beverage services for meetings and events.
  • Maintain detailed records of meeting costs for budgeting and reimbursement.

Qualifications

  • Completion of 12th grade plus certification or a Bachelor's degree in Aviation and Hotel Management.
  • 1 to 4 years of professional experience in administration, facilities management, or branch operations.
  • Strong proficiency in Microsoft Office applications including Excel, Word, PowerPoint, and Outlook.
