About the Company

SARPI Group, established in 2016 and based in Dubai, is a distributor and representative of international consumer and retail brands across the UAE and GCC. The company partners with over 400 retail outlets and 16 e-commerce platforms throughout six Middle Eastern countries. As the company expands, it seeks a well-organized, proactive, and detail-conscious Admin & Office Coordinator to enhance daily operational efficiency.

Primary Responsibilities

  • Manage everyday office administrative duties.
  • Oversee and maintain records of staff attendance and warehouse team timesheets.
  • Handle petty cash and prepare related periodic reports.
  • Process and document employee expense reimbursements.
  • Organize and file important company paperwork including delivery notes, tax invoices, contracts, and other confidential records.
  • Monitor vendor contract expirations and facilitate timely renewals.
  • Coordinate office repairs, maintenance, permits, and supply stock for pantry and office requirements.
  • Maintain orderly filing systems and company records.
  • Provide administrative support to management and various internal departments.
  • Assist with operational projects and undertake other administrative tasks as needed.
  • Promote ongoing improvements to internal office workflows and procedures.

Procurement and Logistics Support

  • Arrange local and international shipments via courier companies like DHL, FedEx, and freight services.
  • Obtain supplier quotations and compile comparative cost analyses.
  • Collaborate with logistics partners and freight forwarders to secure competitive shipping rates.
  • Monitor shipments to guarantee timely receipt of goods and documentation.
  • Support vendor communications and procurement functions.

Employee Administration

  • Assist with employee onboarding and exit processes.
  • Maintain files and records related to employees.
  • Coordinate visa applications, renewals, amendments, and cancellations for employees.
  • Interact with government agencies, typing centers, and external service providers as required.
  • Track expiry of visas, labor cards, and other company documentation.
  • Help ensure immigration and labor documentation deadlines are met promptly.

Requirements

  • 2 to 5 years of relevant experience in office administration or operations within the UAE.
  • Proven experience managing office operations and administrative coordination.
  • Knowledge of UAE visa and government document procedures is a plus.
  • Strong organizational capabilities and ability to multitask efficiently.
  • Effective English communication skills.
  • Proficiency with Microsoft Office suite, especially Excel.
  • Self-motivated with the capacity to handle multiple priorities independently.
  • Experience in logistics, courier service coordination, procurement, or vendor management is advantageous.
