Job Overview
The Admin Coordinator plays a vital role in supporting the Well Bore Cleanout (WBC) Product Line by handling administrative and operational duties. This position assists product line leaders and cross-functional teams by managing schedules, communications, reporting, and record-keeping. It demands a highly organized, proactive individual capable of juggling multiple tasks while maintaining discretion in a dynamic oil and gas setting.
Primary Responsibilities
- Deliver comprehensive administrative and coordination support to the WBC leadership team.
- Oversee calendar management, meeting setups, travel plans, correspondence, and scheduling business activities.
- Develop and keep updated reports, presentations, meeting documents, and other records.
- Synchronize communications and activities between operations, engineering, manufacturing, supply chain, sales, and field personnel.
- Assist with financial procedures—including budgeting, expense monitoring, purchase requisitions, and invoice processing.
- Monitor essential action items, project milestones, and operational priorities to guarantee on-time completion.
- Organize internal meetings, workshops, and events within the product line.
- Ensure adherence to company policies, health, safety, and environmental standards, quality benchmarks, and business procedures.
- Identify and propose methods to enhance administrative efficiency and support ongoing improvement initiatives.
Required Skills and Qualifications
- Exceptional organizational, planning, and time management skills.
- Excellent verbal and written communication capabilities.
- Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, Teams).
- Ability to handle several priorities in a fast-paced work environment.
- Strong attention to detail and adept problem-solving skills.
- Maintains confidentiality and demonstrates sound judgment.
- Strong interpersonal skills to collaborate with all organization levels.
- Experience in preparing business reports, presentations, and documentation.
- Knowledge of ERP systems and administrative workflows is advantageous.
Educational and Professional Requirements
- High school diploma or equivalent with at least 7 years of administrative experience in oil and gas projects; or an Associate Degree, diploma, or related qualification in Business Administration or a similar field.
- A minimum of 5 years’ experience in an administrative, coordinator, or operational support role.
- Demonstrated experience supporting management teams and coordinating cross-departmental activities.
- Proficiency with Microsoft Office applications and business reporting tools.
- Fluent in written and spoken English.
- Advanced skills in Excel Microsoft Application.
