About the Role
Bureau Veritas Qatar is looking for a highly organized and proactive Admin Assistant to facilitate smooth office operations and provide executive-level administrative support to the management team. This position is integral to coordinating daily administrative tasks, managing schedules, handling documentation, and fostering communication among various departments and external stakeholders.
Primary Responsibilities
- Deliver extensive administrative and clerical support to maintain efficient office functions.
- Organize calendars, appointments, meetings, and travel logistics for senior management.
- Coordinate internal and external meetings by preparing agendas, presentations, materials, and minute-taking.
- Serve as a liaison between executives, employees, clients, and external partners.
- Manage incoming correspondence, emails, phone calls, and visitor inquiries effectively.
- Draft business correspondence, reports, and presentations, including confidential documents.
- Maintain both electronic and physical filing systems, records, and databases accurately.
- Monitor action items and follow up with departments to ensure timely completion of tasks requested by management.
- Coordinate travel arrangements, visa processes, hotel bookings, and expense reporting for management.
- Assist in document control tasks such as scanning, filing, archiving, and record management.
- Support procurement processes, office supply control, and vendor relations.
- Contribute to organizing company events, management meetings, training programs, and corporate initiatives.
- Prepare periodic reports and presentations for management evaluation.
- Handle sensitive and confidential information with utmost professionalism and discretion.
- Help improve administrative procedures and enforce compliance with company policies.
- Carry out additional administrative and executive support tasks as required by management.
Qualifications and Requirements
- 3 to 5 years of experience in roles such as Administration, Executive Assistant, Personal Assistant, or Office Coordinator.
- Prior experience supporting senior management or executive-level staff is preferred.
- Experience working in Qatar is considered advantageous.
- Proven organizational and time management abilities with skill in prioritizing tasks.
- Strong command of Microsoft Office suite, especially Outlook, Word, Excel, and PowerPoint.
- Exceptional verbal and written English communication skills.
- Discretion and professionalism in handling confidential information.
- Excellent interpersonal skills to interact effectively with employees, clients, and stakeholders at various levels.
- Capability to work independently, meet deadlines, and manage multiple priorities in a dynamic environment.
- Preferred: Bachelor’s degree or diploma in Business Administration, Office Management, or related fields.
