Role Summary

We are seeking a proactive and detail-focused Accounts Assistant at Radisson RED. This role involves conducting internal audit processes and assisting Heads of Departments (HODs) with purchasing, receiving, and inventory management tasks. The candidate must have relevant experience in hospitality purchasing and accounting and be physically capable of handling stock and deliveries.

Key Responsibilities

  • Adhere to procurement policies concerning requisitions, approvals, quotations, purchase orders, and vendor selection.
  • Keep comprehensive documentation including requisitions, bids, approvals, contracts, purchase orders, receipts, and invoices.
  • Verify supplier records for correct setup, approval, and check for duplicate or suspicious entries.
  • Record supplier selection processes and any exceptions to competitive bidding rules.
  • Match purchase orders, receiving records, and invoices prior to payment authorization.
  • Document and follow up on exceptions and corrective measures, maintaining proof of issue resolution.
  • Safeguard confidential information and disclose any conflicts of interest.
  • Coordinate with HODs to understand ordering needs and budget constraints.
  • Provide stock level insights and support in preparing purchase requisitions.
  • Liaise with suppliers to ensure prompt delivery, supporting smooth operations.
  • Oversee receiving processes ensuring deliveries match orders in quantity and quality.
  • Record and report discrepancies between received and ordered items to respective HODs.
  • Ensure all incoming items are accurately logged in the inventory system.
  • Supervise stock organization to promote easy access and reduce waste.
  • Conduct regular stocktakes to maintain correct inventory levels and prevent overstocking or shortages.
  • Apply best practices for stock control complying with health and safety standards.
  • Support accounts payable activities, including invoice verification and documentation.
  • Ensure proper coding and posting of purchase-related invoices in the accounting system.
  • Maintain accurate financial and procurement records.
  • Assist with month-end closing tasks linked to purchasing and inventory.
  • Collaborate closely with Finance to comply with internal audit controls.

Candidate Requirements

  • 2 to 3 years of experience in purchasing, receiving, and accounting within hospitality settings.
  • Mandatory experience using purchasing software.
  • Previous exposure to delivery receiving and inventory management.
  • Basic knowledge of accounts payable and financial processes.
  • Physically fit to handle deliveries and stock movement.
  • Excellent attention to detail and organizational capabilities.
  • Capable of working independently to meet deadlines.
  • Strong communication skills for effective interdepartmental coordination.

Preferred Qualifications

  • Diploma or degree in Hospitality Management, Finance, Accounting, or related disciplines.
  • Experience in hotel or hospitality operations is advantageous.
  • Knowledge of inventory control systems and procurement best practices.
