Role Overview

The Senior Document Controller will oversee all project-related documentation from the Concept phase through FEED, EPC, procurement, construction, pre-commissioning, commissioning, and final handover. This role ensures that engineering, vendor, contractor, client, and project documentation are managed, distributed, and archived following ADNOC, PMC, and project protocols, maintaining data accuracy, traceability, and timely circulation within multidisciplinary teams.

Key Responsibilities

  • Develop and enforce document control procedures aligned with ADNOC and PMC standards.
  • Oversee document management activities across all project phases including Concept, FEED, EPC, procurement, construction, commissioning, and close-out.
  • Capture, categorize, distribute, transmit, and archive documents from engineering teams, vendors, contractors, and clients.
  • Maintain precise document numbering, revision control, metadata, and document status monitoring.
  • Manage submission, review, approval, and transmittal processes among PMC, ADNOC, EPC contractors, licensors, vendors, and other stakeholders.
  • Track review cycles proactively to secure timely document approvals.
  • Maintain registers, master indexes, deliverable trackers, and logs of document transmittals.
  • Ensure all project documentation is uploaded and maintained within the approved Electronic Document Management System (EDMS).
  • Prepare routine reports including document control metrics, KPIs, overdue reviews, and executive dashboards.
  • Support engineering groups by ensuring access to current revisions and proper handling of superseded documents.
  • Coordinate vendor document reviews ensuring adherence to contractual submission obligations.
  • Check incoming and outgoing documents for completeness and quality prior to distribution.
  • Assist construction and commissioning teams by controlling distribution of official drawings and technical documentation.
  • Manage project records, final documentation portfolios, turnover dossiers, and close-out deliverables.
  • Ensure all documentation complies with ADNOC standards, ISO 9001 quality systems, and company policies.
  • Provide mentorship and direction to document controllers and project administrative staff.
  • Collaborate effectively with Engineering, Procurement, Construction, Commissioning, Quality, Project Controls, and Client teams.

Required Qualifications and Experience

  • Bachelor’s degree in any field (or equivalent) with 10+ years of experience in Electronic Documentation Management Systems (EDMS) within Oil & Gas or Petrochemical projects, including at least 5 years in the GCC region; or a Diploma in Engineering with 15+ years of relevant industry experience including 5 years in GCC preferred.
  • Hands-on experience supporting Concept, FEED, EPC, Construction, and Commissioning phases.
  • Mandatory experience on ADNOC projects and offshore project environments.
  • PMC project experience is advantageous.
  • Proficiency managing multidisciplinary engineering documentation for onshore and offshore facilities.

Technical Skills

  • In-depth understanding of engineering document control processes and document lifecycle management.
  • Extensive experience with EDMS platforms such as Aconex, SharePoint, Documentum, OpenText, or similar.
  • Solid knowledge of document numbering systems, revision control, transmittals, workflows, and distribution protocols.
  • Proficient user of Microsoft Office tools, especially Excel and Word.
  • Skilled in preparing document registers, Master Deliverable Registers (MDRs), status reports, and KPI dashboards.
  • Familiar with ISO 9001 quality management systems and document record keeping standards.
  • Able to manage large volumes of engineering documents involving multiple contractors and disciplines.
