Role Overview
We are seeking a dedicated Front Office Supervisor passionate about hospitality to foster memorable guest experiences starting with a warm and professional welcome. This role requires managing guest interactions from arrival through departure, ensuring high satisfaction and smooth front office operations.
Key Duties and Responsibilities
- Process guest check-ins by verifying reservations, confirming identification, securing payment, allocating rooms, and issuing room keys per property protocols.
- Ensure valid payment methods are obtained before handing out room keys.
- Create precise guest accounts aligned with individual stay requirements.
- Manage electronic room key activations via Salto systems and reissue keys after verification when needed.
- Assign rooms matching guest preferences whenever feasible.
- Verify and adjust guest billing accurately.
- Handle check-outs including express options, resolve billing disputes, settle accounts, collect keys, and solicit guest feedback.
- Inform guests of received communications such as voicemail or mail, and forward them if requested.
- Accommodate room change requests when possible.
- Maintain guest records securely compliant with GDPR.
- Sell rooms to walk-in guests based on availability.
- Manage room status queues and monitor updates accordingly.
- Coordinate with Housekeeping to ensure timely room readiness and address guest concerns.
- Confirm reservations and process cancellations.
- Guide guests on internet access procedures.
- Generate daily operational reports on arrivals, departures, and special requests with accuracy checks.
- Complete financial reports including cashiering and closing via Opera system.
- Run credit card authorization reports identifying discrepancies.
- Print contingency guest lists for emergency preparedness.
- Anticipate peak occupancy and regulate overbooking levels.
- Block rooms and manage special requirements or VIP prioritizations acting as Rooms Controller.
Candidate Profile
- Prior experience in front office or customer-facing roles within hospitality is advantageous.
- Exceptional communication and interpersonal skills focused on guest satisfaction.
- Competency in hotel management software and front office operational processes.
- Excellent organizational skills with meticulous attention to detail.
- Ability to maintain professionalism and resolve issues calmly under pressure.
- Willingness to work shifts including nights, weekends, and public holidays.
- Fluency in English required; additional languages welcomed.
- Positive demeanor, professional presentation, and dedication to delivering excellent guest service.
- A collaborative team player comfortable in a dynamic hospitality environment.
